My client is looking for a Office Administrator for an established maintenance and housing company. The Office Administrator will help with the day-to-day running of all outgoing and incoming deliveries, reports, and enquiries, and assist in coordinating drivers to support any housing issues. The Office Administrator will have a good telephone manner, strong organizational skills, and attention to detail.
General Duties
1. First point of contact for all enquiries: email, telephone, and in person;
2. Prioritising, drafting, and actioning correspondence;
3. Maintaining office and client systems both manual and electronic;
4. Maintaining office supplies;
5. Managing mail and postage;
6. Maintaining and developing filing systems;
7. Leading and minute taking at meetings when required;
8. Organising PPE to be sent out to site;
9. Managing the Site Operative site allocation on the daily call and sending alerts out to the Operatives;
10. Maintaining schedules and contact lists;
11. Welcoming visiting guests– meeting at office, etc., and preparing & supplying welcome packs;
12. Assisting with diary management when required;
13. Networking at events;
14. Contributing to the overall development of the Company.
Person Specification
1. One to two years administration experience desirable;
2. Self-starter, able to work within a team;
3. Excellent interpersonal skills with a positive, friendly, and professional manner;
4. Quickly builds rapport/credibility with colleagues;
5. Self-motivated and able to work on own initiative;
6. Punctual, with exceptional timekeeping ability and strong attendance record;
7. Able to work to deadlines and remain calm under pressure;
8. Great communication skills who is able to communicate with all levels;
9. Good verbal and written communication skills;
10. Good standard and understanding of English and Maths;
11. Attention to detail whilst undertaking duties.
