You would be part of our IP Services Renewals Team who manage the payment of over 30,000 cases due for renewal in any one year and monitor almost 100,000 maintenance fees in total. We have a worldwide client base handled by a team who are based in Glasgow, London and Leeds.
Our Opening team are responsible for the start of the Patent renewal process including onboarding new cases, advising clients of renewal dates, obtaining & processing instructions, and ensuring our internal renewal records are up to date for each client.
Candidates will be expected to work as part of a small team of 5, reporting to the Team Manager, to help deliver team and departmental objectives, internal SLAs and implementation of streamlining/efficiencies with a focus on quality control within the pre-payment phase.
Responsibilities:
* Calculating costs and investigating requirements, both legal and client specific
* Identifying and collecting cases for the purpose of sending schedules to clients
* Processing client instructions with regards to renewals, closing cases and internal updates
* Providing renewal quotes to clients (out with normal schedules)
* Working closely with our Payment Processing team to ensure renewals are timely paid
* Assuming responsibility and accountability for ensuring that late instructions or last minute payments are completed
* Processing agent reminders for upcoming renewals
* Onboarding new cases
* Updating our case records and internal client procedures
* Checking and completing case deadlines with use of Patent Office Registries
* Dealing with administrative tasks
* Stay informed on changes to country laws, work instructions and client procedures
Client Relations:
* Follow internal processes on both complaints and non-conformity to ensure continual improvement
* Adherence to internal KPIs to ensure high quality of client service
People Skills:
* Works closely with internal stakeholders to ensure Attorney and Client needs are met
* Cooperates with Closing and Payment Teams to ensure departmental goals are achieved

Person Specification:
* Experience in a Renewals or IP Administrative role
* Excellent attention to detail
* Ability to maintain concentration whilst handling repetitive tasks
