Description
To provide support to fee earners within the energy part of the commercial services team. The Legal Assistant will work closely with Andrew Whitehead as head of team and fee earners and other Legal Assistants in the Commercial Services team in the day to day running of matters effectively and efficiently, improving client service and compliance where possible.
What you will be doing:
* Providing timely and effective support to requests for assistance from fee earners and members of the team
* Managing the panel client administration including POs, billing, portal updates and reports as required
* Supporting on administration of energy sector group and related initiatives
* Supporting on bids and tendering activities as required
* Attending team meetings either in person or via Teams
* Attending to clients in person and on the phone providing updates, taking messages and assisting where appropriate
* Using a case management system to process and progress files
* Managing file opening, closure and archiving (with the assistance of the MCS team where appropriate)
* Managing diaries for the team, planning and organising meetings and making travel arrangements
* Organising and maintaining departmental filing systems and document storage
* Audio dictation as required and familiarity with Big Hand for provision of support service to fee earners
* Photocopying, scanning, faxing, printing, filing and other general administrative tasks
* Assisting with accounting and billing, including obtaining WIP reports, and sending bills to clients
* Any other duties as reasonably required including attending at offices other than their usual place of work from time to time if necessary
* Working in accordance with the SHMA Culture code
* Ensure adherence to all compliance standards
* Assisting the team with CRM entries and maintaining CRM records
* Liaising with other Legal Assistants across the Commercial Services team to help manage workloads
What you will need:
* Previous experience in a similar role
* Experience in using a case management system
* Ideally experience of managing client reporting and central billing
* The ability to work well in a team and develop good working relationships with colleagues and others
* Confident interpersonal skills with the ability to liaise openly and clearly with colleagues and clients
* To be able to produce a high standard of work, often to tight deadlines, whilst maintaining accuracy and good attention to detail
* The ability to prioritise well and be able to cope with changing demands
* To be able to demonstrate professionalism, flexibility, initiative and self-confidence
