Company Overview
The company has facilities at several different sites in Glasgow and Aberdeen serving a variety of purposes. The Facilities Coordinator will ensure that the buildings, equipment, and associated services meet the needs of the Company and comply with all statutory legislation and other standards to which the Company subscribes. This includes maintenance of existing buildings, managing expansion projects, optimizing space requirements, security of the premises, and maximizing energy efficiency and cost efficiencies on utilities and services.
Key Responsibilities
1. HSEQ - Health, Safety, Environment and Quality is at the core of our business, and you will liaise closely with our HSEQ Department in relation to these matters concerning our building infrastructure and surrounding grounds.
2. Line Management - Full line management responsibilities for the groundskeeper and caretaker. Ensure full adherence to company policies. Responsible for the development and progression of team members, conducting 1-2-1 meetings, absence management, appraisals, and identifying training needs. Maintain records of staff absence and carry out return-to-work interviews. Monitor resource needs and ensure suitable cover is provided within the department.
3. Maintenance - This includes the building, equipment, and grounds. Develop and manage a maintenance schedule. Ensure all assets are properly maintained and kept in good working order. Resolve any failures, damages, or defects.
4. Contracted Services - Key stakeholder in negotiating contracts for supplies and services related to the premises. Local authority ratable valuations.
5. Procurement - Identifying and managing preferred vendors in liaison with the Purchasing Department for all equipment supplies regarding routine replacement and purchases for major refurbishments or new projects.
6. Project Management - Projects will be identified by the Group, and you will be responsible for implementing these projects.
Candidate Requirements
* HND or Degree level in a relevant building, construction, or engineering discipline or alternatively appropriate experience.
* NEBOSH Certificate and/or knowledge of UK HSE requirements (training will be provided).
* Membership of the Institute of Facilities Management or equivalent.
* Project management training and experience would be advantageous.
* Supplier/Contract Management experience.
* Budget management experience.
* Good operational knowledge of MS Office products.
* Excellent time management and organizational skills.
* Ability to work autonomously and use initiative.
* Problem-solving skills.
* Excellent stakeholder management skills.
* Minimum level, clean driver's license is essential.
