My job Key Responsibilities To deal with both internal and external switchboard calls and emails in an efficient and courteous manner. To be familiar with basic switchboard. Train users in switchboard as necessary. Report any switchboard issues to the IT Support Section. Keep company phone numbers and extension lists up to date on outlook Greet and register visitors using the visitor protocol and notify relevant staff of their arrival. Ensure visitors are made aware of the Companys regulations regarding visitors to the site. Monitor and report any threatening calls as per the instructions provided. Be fully conversant with the documented Reception procedures and report any exceptional issues affecting the smooth running of the reception function To deal with, or report, any problems with the franking machine. Assist the other departments in general administrative duties. Responsible for office stationary and consumables management, including ordering and monitoring stock levels Manage and replenish the office stationary cupboard Support the meeting room booking process within the Rushmere facility Manage the postal requirements for the group, from postage / courier arrangement to distribution of incoming post. Support organisation of company events Manage local meeting requirements (meals, equipment etc for rooms in use) Oversee contract work re cleaning, security, catering provision is provided as required To work in a manner that actively seeks to reduce any negative environmental impact in relation to the processes and procedures operating within their area and across the wider business e.g. reduction of waste, recycling etc. Skills & Knowledge Previous experience in receptionist role/customer facing or administrative role Good telephone manner Well presented, open and friendly approach, articulate Ability to manage a switchboard Good organisational skills Administration skills
