As an Occupational Health Administrator you will provide administrative support and guidance to our customers- both internally and externally regarding all aspects of the Occupational Health processes.

The Civil Nuclear Constabulary is seeking an exceptional Administrator (Occupational Health) to join our Occupational Health and Wellbeing team. As an Administrator, you will play a crucial role in supporting and contributing to our ambitious mission of ensuring the safety and security of civil nuclear sites. You will be the first point of contact for all occupational health enquiries from customers and stakeholders; ensuring queries and calls are handled in a polite and professional manner.
Responsibilities:
1. Provide flawless administrative support to the Occupational Health and Wellbeing department, ensuring smooth operations and efficient workflow.
2. Assist in managing appointments, schedules, and documentation related to occupational health assessments.
3. Maintain accurate and up-to-date records of employee health records, ensuring compliance with regulatory standards.
4. Collaborate with health professionals to coordinate health surveillance programs and follow-up on any identified issues.
5. Manage and organise the department's filing systems, both physically and electronically using the medical records system.
6. Respond promptly and professionally to employee inquiries and requests for information.
7. Order equipment and consumables, liaising with external suppliers as required for the department.
8. Contribute to the successful implementation of new occupational health initiatives and programs.
Essential Experience:
9. Proven experience in administrative roles, preferably within a healthcare or occupational health setting.
10. Previous experience using a medical record system would be beneficial.
11. Ability to work in a confidential setting and adhere to confidentiality principles is essential.
12. Strong organisational skills with the ability to multitask and prioritise effectively.
13. Excellent attention to detail, ensuring accuracy in data entry, minute taking and record-keeping.
14. Proficient in using various computer applications and software, including Microsoft Office Suite.
15. Exceptional communication skills, both written and verbal.
16. Ability to work collaboratively as part of a team while also being self-motivated and independent.
17. Familiarity with occupational health and wellbeing services is beneficial.
Occasional travel may be required to support with medicals administration at other locations, team away days etc.

32. Some of the responsibilities of the role include:To provide administrative support and guidance to our customers both internally and externally regarding all aspects of OH processes
33. Co-ordinate the activities of CNC medical personnel and provide the liaison point between them and relevant individuals/external agencies, such as employees, applicants, GPs, medical specialists and external OH providers ensuring compliance with GDPR and Access to Medical Reports Legislation etc.
34. Co-ordinate the management referrals process using the CNC medical records system, ensuring referrals are managed in line with the KPIs, effectively triaging referrals, booking appointments, liaising with individuals, line managers and clinicians.
35. Act as a ‘Superuser’ for the CNC’s medical record system, troubleshooting and supporting managers and employees with queries relating to the use of the system.
36. Plan, coordinate and minute key meetings in the OH area

Documentation and records: ensure accurate compliance of record management within the provisions of the General Data Protection Act and Access to Medical Reports Act, ensuring that all information is stored and processed in an appropriate manner with due regard for confidentiality and sensitivity.
38. Follow up with GP/specialists where required to progress requests for medical reports/referrals in line with the agreed KPIs.
39. Ensure prompt processing of invoices for the OH & Wellbeing Department, carrying out internal checks, raising queries where discrepancies are identified, working closely with the finance dept, following up any invoicing queries with internal and external stakeholders as required.

To be successful in the role you will need to display the following experience and skills:
40. Previous experience working in HR administration or providing administration support in a medical/health setting would be advantageous.

43. Previous experience using a medical records system or case management system would be beneficial.
