The Asset Co-Ordinator is responsible for collecting, updating, and maintaining accurate asset information within the Facilities Management (FM) system.
This role ensures all asset data is recorded in the correct format, adheres to the established naming conventions, and is up to date to support effective maintenance planning, compliance, and operational efficiency.
Key Responsibilities: Asset Data Management: Collect, validate, and input asset data into the Computer-Aided Facilities Management (CAFM) system or other asset management databases. Ensure all asset information is accurate, complete, and compliant with company and industry standards. Maintain consistency in asset naming conventions across all records.
Data Integrity & Compliance: Regularly audit asset records to ensure accuracy and completeness Work closely with engineers, contractors, and FM teams to verify asset details and update records as needed. Support compliance with statutory maintenance and lifecycle planning by ensuring correct asset classification and documentation.
Stakeholder Collaboration: Liaise with maintenance teams, project managers, and FM suppliers to obtain asset data and ensure records reflect current site conditions. Work with IT and data teams to improve system functionality and data reporting capabilities.
Reporting & Analysis: Generate reports on asset condition, lifecycle, and maintenance history to support decision-making. Identify trends, inconsistencies, or gaps in asset data and recommend corrective actions. Assist in asset verification exercises, site surveys, and condition assessments.
Key Skills & Experience: Experience in asset management, data administration, or a similar role within Facilities Management. Strong attention to detail with the ability to interpret technical asset data. Proficiency in using CAFM systems, Excel, and other data management tools. Knowledge of FM industry standards, asset naming conventions, and compliance requirements. Excellent communication and collaboration skills to work with various stakeholders. Problem-solving skills with the ability to identify and rectify data inconsistencies. Experience in asset lifecycle management and PPM scheduling. Familiarity with SFG20, ISO 55000, or other asset management standards.
