Role summary/purpose of job An exciting opportunity has arisen within the Management Office to support our Senior Partner. We are seeking a highly motivated and business-focused Executive Assistant (EA) who is committed to providing effective, proactive, and comprehensive administrative support to the senior most leader of the firm. The ideal candidate will possess the energy, drive, and strategic mindset necessary to excel in this important role, ensuring the highest level of service while adeptly managing daily responsibilities. As an ambassador for the Senior Partner, Management Office and the Firm, this is an excellent opportunity to work closely with senior leadership across the firm and to be part of a dynamic global team. Key responsibilities and deliverables Provide extensive and complex diary and travel management across multiple time zones. Collaborate with the Head of Strategic Projects to prioritize tasks, flag important items and ensure the Senior Partner is well-prepared for all interactions, from routine updates to meeting briefs. Plan, schedule and manage meetings effectively including proactive preparation and consolidation of agendas, materials, minutes and follow up actions. Draft high-quality correspondence and communicate with integrity on behalf of the Senior Partner Monitor support needed during the Senior Partner’s travel across the world and ensure timely support related to itinerary changes, meeting schedule updates and all relevant local logistics. Ensure adequate support on the ground. Liaise with Assistant Centre to delegate administrative tasks such as expenses, post, couriers, archiving, printing, photocopying, scanning, bundles, basic travel bookings, taxis etc. Ensure effective document management using the firm’s systems creating ease of access to the required information for the Senior Partner Requirements and Qualifications The ideal candidate is service orientated and an excellent communicator with outstanding organisational skills and a keen attention to detail. Requirements: Ability to thrive in fast-paced environments, managing multiple priorities with professionalism and discretion. A high level of discretion in handling confidential information Strong problem-solving skills and attention to detail Excellent interpersonal skills and the ability to build and maintain relationships with key stakeholders at all levels. Flexibility to adapt to changing priorities and work under pressure. Qualifications: Experience supporting very senior executives, in an Executive Assistant role. Strong administrative and secretarial skills, with the ability to manage complex schedules and meetings. A high level of proficiency with the MS Office suite Bachelor’s degree or equivalent experience in business administration or a related field Service orientated, with strong emotional intelligence, able to take a large amount of information and turn it into actionable deliverables. An organised and proactive EA who takes pride in their work and has the ability to work under pressure and at pace.
