An opportunity has arisen for a highly enthusiastic administrator to join the Corporate Governance Team within University Hospitals Bristol and Weston NHS Foundation Trust (UHBW). The role is ideally suited to a confident, capable and highly organised individual who can effectively support the Trust Board and governance processes of the Trust.
The role will primarily support the organisation of Board and Committee meetings for one of the largest NHS Foundation Trusts in the country. You will need to be confident in managing your own workload independently, be highly organised, with good attention to detail, and with the ability to work under pressure.
To be considered for this role you should have experience of working in a busy office environment, and have enhanced administrative skills including advanced minute taking, as well as experience of working with senior managers and external stakeholders. You should be able to demonstrate that you have experience of working autonomously, showing initiative in decision-making, and understand how to manage confidential information sensitively and professionally.
The role will be based at our Trust Headquarters in Bristol.
Main duties of the job
As Corporate Governance Officer, you will act as the interface between the Non-Executive Directors, Trust Board and Committee meetings and the rest of the hospital. Your duties will include:
Job Purpose
* Working with the Corporate Governance Manager and the Head of Corporate Governance in the delivery of a comprehensive corporate governance service to the Trust Board at University Hospitals Bristol and Weston NHS Foundation Trust.
* Leading in the provision of a professional, confidential and high quality administrative and logistical support service to the Trust’s Board Meetings and Board Committee Meetings, to include agenda production and management, timely production of papers, advanced minute-taking and follow-up of actions as required from the meetings.

Qualifications and Training
* Educated to ‘A’ Level standard (or equivalent experience)
* Degree or equivalent professional qualification (ideally in business administration)
* NVQ 4, RSA 3 typing word processing (or equivalent)
Knowledge and Experience
* Experience of business administration in a large complex organisation
* Experience of taking high quality minutes of complex meetings capturing precise and succinct action points
* Experience of agenda planning, collation and distribution of meeting papers and following up on actions at board and committee meetings
* Experience of working autonomously and on own initiative, whilst also being a team player
* Experience of planning and organising complex programmes of events
* Experience of creating, developing, and implementing new and improved office systems and administrative processes
* Experience of working with senior staff and also dealing with members of the public
* Working knowledge of corporate governance practices and their value to the organisation, particularly the public sector
* Good knowledge and understanding of policy and legislation relating to compliance and regulation
Skills and Abilities
* Excellent organisational skills with a meticulous attention to detail and the ability to multi-task and organise self and others
* Highly computer literate (E) and advanced user of Microsoft Office applications (i.e. Outlook, Word, Excel, PowerPoint)
* Able to format a range of documents to a high standard to ensure Board and Committee papers maintain a corporate style
* Effective time management skills and capacity to successfully manage conflicting priorities
* Ability to handle sensitive and confidential information and to recognise the need for absolute discretion and confidentiality
* Excellent minute writing ability
* Ability to recognise quickly conceptualise links, gaps and overlaps between different pieces and streams of work
* Experience of using paperless board systems (i.e. Convene, Diligent, AdminControl)
* Able to work flexibly in a complex regulatory reporting environment
* Exceptional interpersonal, presentation and communication skills, with a range of people, internal and external to the organisation
