An exciting opportunity has become available for a Medical Imaging Support Manager (MISM) to lead the clerical and administrative team in the Medical Imaging department at Mid Cheshire Hospitals Trust.
The clerical support team provides a full range of professional administrative, secretarial, and clerical services which support clinical staff to deliver high quality, efficient and effective patient-centred care within Medical Imaging, in line with local and national standards. The MISM is responsible for leading this team, undertaking Radiology systems administration, and supporting the Medical Imaging management team.
Main duties of the job
Key tasks include:
1. Direct oversight of outpatient and inpatient/day-case waiting lists in line with NHS England National Diagnostics Waiting Times and Activity targets.
2. Managing Departmental capacity to ensure that clinical priorities and waiting time targets are met through effective use of available resources.
3. Overall responsibility for administrative services within the Directorate, and direct line management responsibility for Administration Teams.
4. Participation in service modernisation projects with multidisciplinary clinical teams.
5. Day-to-day operational input to arranging clerical cover, ensuring service continuity.
6. The development of statistical datasets for performance reporting.
7. Supporting clinical governance actions such as complaint/incident investigation/ providing Information for Significant Adverse Event Reviews (SAERs).
8. Supporting the RIS/PACS lead in the provision of first line RIS system support, communicating with all Trust users in relation to planned and unplanned downtime and also providing application support to end users.
9. Supporting the RIS/PACS lead in Radiology Information System (RIS) day-to-day service provision, providing support to system users and ensuring that the system is functioning correctly so that the provision of digital imaging services continues.

Detailed job description and main responsibilities
SERVICE DELIVERY
1. Support, develop and maintain systems and processes to ensure services are effectively implemented and evaluated according to Trust policies, procedures, and guidelines.
2. Provide operational management, providing expertise, advice and guidance.
3. With the support of the senior management team, support and lead where appropriate on the review and development of service and workforce plans.
4. Analyse and act on information to proactively manage and maintain NHS targets.
5. Manage information generation, collation and analysis of data e.g. preparation of papers for Programme Board meetings, Bed Management Reports etc.
6. To assist with the control of expenditure, ensuring it remains within budget for all administrative areas.
7. Plan, organise and monitor the administrative services of the Medical Imaging department by working on own initiative to monitor the workload and flow of activity, ensuring the smooth running of the service by prioritising the workload, workflows and implementation of new initiatives, with conjunction with the senior team.
8. To advise the senior management team on issues regarding resources and staff.
9. Provide highly complex and specialist knowledge and understanding of data collection methods and influencing operational factors in order to compare and present accurate statistical data.
10. Critically analyse statistical information in collaboration with clinical colleagues to ensure reliability, accuracy and consistency.
11. Assist in the forecasting of future activity in collaboration with clinical colleagues based on activity trends, taking into account of changes in clinical practice.
12. Monitor quality of waiting list data input and take appropriate remedial action.
13. Investigate and contribute to the response to written complaints.
14. Organise basic audits and collect data to assist with the planning of changing services or organisational procedures. Develop and implement processes which support regular data collation to inform Service Performance including ad-hoc audits as required.
GOVERNANCE
1. To support the maintenance of systems and processes to establish and maintain effective communication, and confidentiality of information.
2. Promptly and positively address risk reports/complaints etc., in line with Trust Policy.
3. Support on the development and implementation of policies, procedures and guidelines related to the service, and contribute to the development of other policies.
4. Ensure a healthy, safe and secure working environment, ensuring compliance with legal and regulatory requirements, maintaining accurate documentation and reporting any concerns.
MANAGERIAL/LEADERSHIP
1. Responsible for the overall management of the administration and clerical staff employed in the medical imaging department.
2. Provide leadership, motivation, support and developmental training to staff in managing the staff group effectively and efficiently, in accordance with Trust HR Policies and Procedures.
3. Oversee the management of admin staff absence in liaison with Human Resources and Occupational Health Departments.
4. Carry out performance review interviews for staff ensuring that training and developmental needs are met.
5. Critically analyse the replacement of vacancies and, where appropriate, re-design the staffing profile to meet the current and future changing service needs and to achieve service objectives and efficiencies.
6. Participate in recruitment and selection process for administrative vacancies where appropriate, including all associated paperwork.
7. Involvement in the resolution of and decision making relating to staffing issues, including involvement in grievance and disciplinary procedures.
8. Responsible for ensuring that the Administration staff’s working environment and practices conform to Health and Safety standards and that regular risk assessments are carried out with the appropriate follow up action being taken.

14. Support development and maintain systems and processes to ensure that work is appropriately prioritised and allocated, and that effective supervision is in place to support work delegated to staff.
15. Support, develop and maintain systems and processes to ensure that staff appraisal is in place for administrative and clerical staff within the Department.
16. Support the Department ensuring that recruitment, staff induction and orientation, and mandatory training of administrative and clerical staff take place according to Trust policy.
17. Support and maintain systems and processes to promote, monitor and maintain a healthy, safe and secure working environment, ensuring compliance with legal and regulatory requirements, maintaining accurate documentation and reporting any concerns.
18. Identify relevant equipment needs for the department in conjunction with medical staff, and authorise as appropriate, including supervising the purchase of stationery supplies for administrative staff.
