To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.
Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).

Main duties of the job
The following are thecore responsibilities of the Medical Secretary. There may be, on occasion, arequirement to carry out other tasks; this will be dependent upon factorssuch as workload and staffing levels:
a.Typingletters, reports and associated documentation as required
b.Liaisingwith external agencies such as hospitals and community services, ensuringreferrals are processed efficiently
c.Managingall enquires in an effective manner
e.Actioningall incoming email
f.Processingletters as requested
g.Scanningof patient related documentation and attaching scanned documents to patientshealthcare records
h.Inputtingdata into the patients healthcare records as necessary
i.Processingreferrals using the electronic referral system (ERS)
j.Processingrequests for information i.e., SAR, insurance/solicitors letters and DVLAforms
k.Clinicallycoding data on Systm1
l.Answeringincoming phone calls, transferring calls or dealing with the callers requestappropriately
m.Managingall administrative queries as necessary
n.Carryingout system searches as requested
Supporting all clinical staff withgeneral administrative tasks as requested

Full training for the role will be provided.

Person Specification
Experience
* Experience working as a Medical Secretary
* Committed to quality customer care/delivering excellent customer service.
* Ability to communicate accurately verbally and in writing with a wide range of people.
* Effective interpersonal skills
* Able to work with minimal supervision following set procedures. Ability to prioritise workload.
* Able to work to deadlines.
* Flexible approach to work and adaptable to change. Ability to work as a member of a team
* Knowledge of computer packages: Word, Excel, Outlook and Powerpoint.
* Knowledge of Data Protection and Caldicott Principles and understanding the requirement to maintain confidentiality Ability to use discretion and maintain confidentiality
* Experience working in GP Practice/Primary Care
Qualifications
* Good Standard of Education - Minimum of 5 GCSEs (or equivalent) at C Grade or above including English Language
* Keyboarding/typing qualification equivalent to RSA 3/OCR Advanced text/word processing or equivalent proven typing skills to a high standard (or working towards)
* Experience of using a patient information system
