The Role
We’re looking for an executive assistant reporting to the chief operating officer. You’ll play a key role in organising, planning, and managing all aspects of the CEO’s calendar, as well as supporting the wider executive team.
Seccl is a dynamic, fast-paced entrepreneurial organisation with this role being exposed to all areas of Seccl and the wider Octopus Group, so it’s a true opportunity for a curious self-starter to widen their knowledge and breadth of EA experience.
On a Typical Day You Will Be…
* Having complete ownership of diary and time management for the CEO and executive team - identifying and organising meetings without guidance and responding on their behalf where necessary.
* Retaining knowledge of the business and relationships to enable decision-making across key stakeholders, acting with discretion, and handling sensitive and personal information.
* Proactively thinking and planning weeks, months, and a year ahead of time to ensure deadlines are met and the CEO has everything they need in advance of an upcoming event.
* Managing correspondence with clients, both internal and external, including meetings, travel, and events, sometimes for large groups, including venue hire, catering, and attendee communication.
* Overseeing office operations management of the Bath, London, and Edinburgh offices, liaising with people team, building management, and service providers, managing office supplies, and supporting team social initiatives.
* Providing ad hoc support for the wider executive team, including diary management, organising travel and accommodation, completion of expenses, and processing of invoices in accordance with company policy.

* You have high attention to detail, able to produce and proofread high-quality written communication, presentations, board papers, and financial data with limited supervision.
* You have a strategic mindset, able to cut through the noise to give a decisive view of the way forward.
* You are a great communicator, with a proven ability to work with a wide range of different individuals, with an upbeat and can-do attitude.
* You can work independently with limited or no input from the leadership team, unless critical, getting things done efficiently and effectively.
* You can proactively manage multiple tasks and projects seamlessly, prioritising workloads to meet deadlines.

* You rely on a lot of top-down direction. Here, you’ll have a lot of freedom and ownership of your role, and you’ll be expected to shape your own progression.
* You’re not comfortable working in a fast-paced environment. Our speed and scalability are what set us apart; you need to be able to act quickly and think on your feet.

A salary between £40k and £50k – dependent on experience + reviewed annually.

Interview Process
Interviewing is a two-way thing, and we want you to have the time and opportunity to get to know us, as much as we are getting to know you. Our interviews are conversational, so come with questions and be curious. In general, you can expect the interview process to look a bit like this, (following an initial chat with one of our Talent team):
* First stage – 45 mins competencies-based interview with the hiring manager.
* Second stage – one-hour technical interview or assessment.
