We are seeking an organised, detail-oriented IFA Administrator to join our dynamic financial services team. The role will involve supporting Independent Financial Advisors in managing client portfolios, processing financial paperwork, ensuring compliance with regulations, and maintaining accurate client records. The IFA Administrator will ensure the smooth operation of our financial services processes, contributing to the efficiency and success of the advisory team.
Salary circa £24,000 (pro rata) - negotiable based on experience
Key Responsibilities:
1. Client Administration:
1. Provide support to our financial advisors by managing client files and ensuring all information is kept up-to-date.
2. Assist clients with basic inquiries and coordinate meetings between clients and financial advisors.
3. Prepare and update client records on financial systems (CRM, portfolio management software).
2. Document Management:
1. Process financial documentation such as client applications, investment proposals and pension paperwork.
2. Ensure all documents are accurately completed, signed, and submitted within deadlines.
3. Maintain both physical and digital client files, adhering to compliance standards for record-keeping.
3. Compliance and Regulation:
1. Ensure compliance with regulatory requirements (e.g., FCA regulations, GDPR) in all client dealings and documentation.
2. Assist in preparing documents for audits and regulatory reporting.
3. Keep up to date with industry regulations and ensure the firm’s processes reflect the latest requirements.
4. New Business Processing:
1. Support our advisors in processing new business, including investments, pension plans, and insurance policies.
2. Coordinate the gathering and submission of client information for new applications.
3. Liaise with external product providers to ensure smooth processing of new business.
4. Assist in maintaining and updating financial portfolios, ensuring all relevant transactions, contributions, and changes are documented correctly.
5. Prepare financial statements and performance summaries for financial advisors to review with clients.
6. Monitor clients' investments and ensure accurate record-keeping.
5. General Office Support:
1. Handle the scheduling of client appointments, follow-up meetings, and any additional support needs for financial advisors.
2. Communicate effectively with clients, internal teams, and third-party service providers.
3. Provide general administrative support to the financial advisory team, including preparing client correspondence and managing office tasks.
Required Qualifications:
1. Previous experience in an administrative role, ideally in financial services or a similar environment.
2. Understanding of financial products (pensions, investments, life insurance) and basic knowledge of financial services regulations.
3. Proficiency in using office software (Microsoft Office, Intelligent Office, CRM systems, financial planning software).
4. Attention to detail and ability to maintain accuracy in all aspects of administrative tasks.
5. Excellent organisational skills and the ability to prioritise tasks in a fast-paced environment.
6. Strong written and verbal communication skills.
7. A proactive approach with a strong focus on providing excellent customer service.
Preferred Qualifications:
1. Certificate in Financial Services or similar qualifications related to financial planning (or a willingness to work towards one).
2. Experience with financial planning and advisory tools (e.g. Intelligent Office).
3. Familiarity with compliance standards and regulations in the UK.
4. Ability to work independently as well as part of a team in a busy office environment.
