Job summary
We are looking for an enthusiastic and self-motivated medical secretary with IT support skills to join our friendly practice team.
The ideal candidate would have experience of using EMIS System, good sound knowledge of medical terminology, and have worked as a medical secretary within general practice. They will also have experience of IT support.
They will need to be able to work effectively in a fast paced environment, responding to changes, whilst remaining calm and methodical. They should have excellent interpersonal skills and effective written and verbal communication skills, with a high level of attention to detail.

Main duties of the job
The secretarial team are responsible for the provision of efficient and comprehensive secretarial support to the practice including the typing of letters, reports, patient referrals and notifications. You will be the first port of call within the practice for IT queries.
1. Ensure the smooth running of the secretarial service and prioritise workload as appropriate.
2. To answer phone enquiries in a prompt, efficient and helpful manner.
3. To actively manage and respond to patient tasks prioritising where appropriate.
4. To type referrals, clinical letters and reports as required by the clinical team.
5. To refer patients via the e-referral system and oversee progress of those referrals, especially 2 week wait referrals
6. To liaise with external agencies regarding appointments, correspondence and test results.
7. To check and respond to secretarial e-mails. To send correspondence via mail and e- mail according to protocol.
8. Checking the eReferrals worklists daily making sure rejections / triage outcomes are processed.
9. To assist in the upkeep of the practice website and social media accounts, including the information on the patient call-in screens.
10. To be the first contact for IT support within the practice, escalating to our IT support where needed. Examples of such would be: assisting with smartcard issues, assisting with log-on issues, assisting with printer issues
11. To be the main contact for non-medical supplies ordering within the practice in line with practice protocols.

The successful candidate will provide administrative support to ensure the smooth running of the practice. The position is for 37 hours per week Monday to Friday.
Previous experience of working within a primary or secondary care setting is desirable, but we encourage applications from candidates who have transferable skills and willingness to undertake suitable training to upskill if required. The post is subject to a DBS check
You must be organised, self-motivated and forward thinking, with excellent communication skills. It is important that the candidate is confident, empathetic towards patients contacting the practice and can remain calm under pressure whilst multi-tasking. You will also be required to deal with queries and GP requests. The candidate must be enthusiastic and computer literate. Knowledge of medical terminology would also be an advantage.
Basic IT support knowledge and social media/webiste management skills would be beneficial, but training will be given.
