We are seeking a Maintenance & Installations Coordinator to support the upkeep and safety of properties while ensuring the maintenance office runs smoothly and efficiently. The Role As a Maintenance & Installations Coordinator, you will play a key role in managing maintenance tasks, liaising with contractors, tracking property conditions, and supporting the Maintenance & Installations Manager in administrative and operational duties. Key Responsibilities Support the Maintenance & Installations Manager in the daily operations of the property maintenance office and manage all administrative matters related to property management. Manage the Cherwell system to convey operational needs, tasks, and actions to the property maintenance team and contractors. Ensure tasks are completed and follow up accordingly. Liaise with contractors and security staff to schedule works as required. Source products and goods, providing options for selection and approval; obtain quotes and raise purchase orders. Liaise with the purchasing department for goods and provisions and with property finance personnel. Assist the Maintenance & Installations Manager in managing annual maintenance contracts and budgets. Serve as a primary point of contact within the department for maintenance issues, liaising with Godolphin regarding their owned properties. Support the Maintenance & Installations Manager by preparing presentations, taking meeting notes, filing, and undertaking project work, including research and purchasing. Update insurance and risk assessment statements. Manage property snagging lists, update existing damage reports, and general conditions. Assist with allocating work for actions. Maintain and update furniture inventory reports. Assist with setting up properties for occupation. Handle daily administrative tasks such as managing delivery notes and engineering reports, liaising over invoice payments, and managing petty cash and credit cards.What We're Looking For We are seeking a professional with: Possession of a full, clean UK driving licence (Essential). Substantial proven experience in a similar role, with a basic understanding of current Building Regulations (Essential). Ability to follow detailed instructions accurately (Essential).
