The post holder will provide support to the Safeguarding Support Team by assisting with administrative tasks as needed.
The role involves delivering efficient, high-quality, and confidential administrative and secretarial support to the safeguarding support team.
The post holder will respond promptly and efficiently to all routine requests, contributing to the delivery of the safeguarding agenda across Hampshire and Isle of Wight Healthcare.
The position requires the ability to work independently, making decisions and prioritising tasks related to the day-to-day operations of the safeguarding support team hub, while also collaborating effectively with other team members.
The post holder will assist with the collation and dissemination of data, as well as the monitoring and evaluation of projects for the Safeguarding Support Team. Additionally, they will maintain and upload safeguarding documents using electronic health recording systems.
Main duties of the job
1. To act as the first point of contact for the safeguarding support team.
2. To deal with highly sensitive information regarding abuse and domestic violence effectively and in a professional manner.
3. To use a variety of information systems effectively.
4. To request information from service lines for the purpose of high-risk domestic abuse meetings then upload identified information after meetings.
5. To set up and maintain systems for the collection of data including setting up databases, spreadsheets and the development of presentations using PowerPoint.
6. To produce well-presented reports, letters, chronologies and plans, emails as required, preparing drafts of items as required.
7. Arranging meetings, putting together agendas, minute taking, writing up minutes, distributing in a timely manner and following up on actions.
8. To assist with audits.
9. To support with co-ordinating safeguarding training for staff.
10. Assist Nurse Specialist in co-ordination of clinical & safeguarding supervision. To set up and maintain supervision data spreadsheet.
11. Be willing to support admin processes in the local Multi-Agency Safeguarding Hubs (MASH) if required.

Person Specification
Qualifications
* Excellent working knowledge and experience of Microsoft applications including Word, Excel and Outlook.
* RSA level 3 typing or equivalent level of experience.
* ECDL/CLAIT or equivalent.
* Educated to GCSE standard or equivalent. Minimum A-C in English.
* Working knowledge of PowerPoint.
Experience
* Good knowledge of a range of secretarial procedures including word processing, minute taking, maintaining electronic and other records, gathering data.
* Experience of organising own workload, prioritising and working to deadlines.
* Excellent telephone manner.
* Experience of working in a constantly changing environment.
* Experience of working within the NHS.
* Ability to use various Computer Systems i.e. Systm One, Caredirector, MOSAIC, RIO & NHS Spine Portal.
