Job Role: Executive Assistant
Reporting to: PA to the Founder
Location: Head Office, White City Place, West London
Contract type: Full Time, 37.5 hours per week

About the Role
As an experienced Executive Assistant with a proven track record of supporting multiple principals, you will play a key role in providing high-level administrative and operational support to four members of the Senior Management Team as well as the PA to the Founder. Your ability to efficiently manage competing priorities while supporting a team of senior leaders will be critical to your success in this role.
Job Responsibilities
* Provide comprehensive administrative support to four members of the Management Team.
* Efficiently manage complex and dynamic schedules, ensuring seamless diary coordination.
* Organize travel arrangements, including hotel, flight, and transfer bookings, adhering to company policies and budget constraints.
* Assist with meeting preparations, including printing and organizing presentations when required.
* Serve as the primary point of contact for Management Team queries and requests.
* Offer ad hoc support to the Founder and the Founder’s PA, stepping in to deputize during absences.
* Maintain detailed and organized records of receipts and manage expense documentation as needed.
* Represent senior management on the Social Committee, contributing to decision-making processes.
* Collaborate closely with the Strategy and Operations Manager, MT EA, and PA to the Founder to coordinate key events, including Management Team meetings, strategy sessions, board meetings, and town halls.
* Work with the Chairman’s EA to schedule office days and coordinate mutually convenient meeting times.
* Provide coverage and support for the other MT EA during their absence.
Skills and Experience
* Proven experience in a team Executive Assistant role, supporting minimum of 3 senior leaders.
* Demonstrated trustworthiness and discretion in handling sensitive information.
* Exceptional interpersonal, communication, and time-management skills.
* Highly adaptable, flexible, and resilient under changing circumstances.
* Ability to work effectively both independently and collaboratively within a team.
* Experience thriving in fast-paced office environments.
* Proficient in Microsoft Office Suite, including Word, PowerPoint, and Outlook.
