In this Medical Secretary role, you will work within a team and be responsible for audio transcription and word processing of clinical letters, data quality, and other correspondence as required by the clinical staff.
You will support Senior Medical Secretaries in a range of duties related to patient pathway management, including diary management and in-patient waiting list management.
This role requires excellent organisational, time management, and IT skills, along with the ability to work without supervision and respond to last minute requests. You will be involved in the validation of patient data on a daily basis.
An appropriate speed and accuracy of typing is required for this role and will be assessed at interview. Medical secretarial experience is desirable but not essential. You should have a high standard of communication and interpersonal skills with the ability to work with staff at all levels.
Main Duties of the Job
The job holder will be responsible for the provision of a comprehensive secretarial and administrative service to the Clinical Specialty, including:
* Providing a range of secretarial and administrative duties related to patient pathway management, audio transcription, and word processing of clinical letters.
* Proofreading documents, requiring a good command of English grammar.
* Production of reports and other correspondence as required by the Clinical Team.
* Acting as a point of contact and disseminating information for the Medical Team, liaising with multi-disciplinary team members and other health professionals.
* Ensuring patients are treated in accordance with the Trust's policy and procedures.
* Maintaining efficient office systems and liaising with other departments/hospitals on behalf of the Clinical Team.
* Working with minimal supervision and meeting often tight deadlines.

Job Responsibilities
Primary Duties & Areas of Responsibility:
* Providing secretarial/administrative support to Clinical staff, including audio typing, scanning, photocopying, and distributing mail.
* Using initiative in filtering information and being proactive in dealing with routine matters, seeking support from the Senior Medical Secretary.
* Understanding the Trust's Access Policy and other National/Local targets (e.g., Cancer, RTT, non-RTT pathways) and working to the standard operating procedures.
* Typing clinical letters, minutes of meetings, medical reports, and results letters.
* Assisting with any data collection and entry required at the service level.
* Dealing with telephone enquiries from patients and relatives, which may be sensitive in nature.
* Ensuring patient records are up to date and that all investigations and other materials are available for clinic appointments.
* Ensuring accuracy when administering relevant IT systems, including EPR and/or other local IT systems.
* Contributing to the effective and efficient running of the service and highlighting areas for improvement.
* Performing such duties at a comparable level of responsibility associated with the work of the post which may vary from time to time.
Person Specification
Experience
* Experience of working face to face and/or telephone contact with the general public.
* Experience of working in the NHS.
Skills

Knowledge
* Knowledge and understanding of Microsoft Office packages, including Excel and PowerPoint, internet, email, etc.

Qualifications
* Educated to GCSE standard.
