Job summary We are currently recruiting for an Administrator to join our busy Musculoskeletal Physiotherapy Administration Service Central Booking Office based within Southwest Hampshire. The role is based at our office space in Lymington New Forest Hospital, where we also offer free staff parking and easy access from the surrounding area via public transport. This role is a full time position and flexible working can be considered. The office is open 8am-5pm Monday to Friday with no weekend or bank holiday working required. Full training will be given, and you will have opportunities to further develop your career within the Trust. Previous knowledge of NHS computer systems or other computerised booking / tracking systems is preferable but not essential. We are looking for someone with an excellent telephone manner, strong administration skills, the ability to work calmly under pressure and to use your initiative. You will need to demonstrate a flexible approach to ensure tasks are carried out accurately and service specific guidelines are met. Main duties of the job Provide an excellent customer service experience at all times, including uploading referrals, making appointments over the telephone and updating patient records on EPR. Provide first point of contact for patients on the telephone and deal with written and telephone enquiries on behalf of the Physiotherapists using judgement to establish the validity and priority of the contact. Sort, distribute and prioritise incoming mail using judgement and experience to decide which documents are to be passed to the Physiotherapists and which may be passed to other areas for action and information. Maintain electronic systems and accuracy of patient details, using an electronic patient administration system to validate and rationalising to a paperless system where possible. Administer physiotherapy waiting lists, organise clinics and appointments, maintain records of clinic dates by type of clinic. Use electronic patient administration systems. Provide cover for colleague's absence due to sickness or annual leave. Ensure the delivery of a timely and high quality service. Manage own workload using own initiative, discretion and judgement. Attend departmental meetings. Any other administrative duties required for the post as delegated by the Physiotherapy Administration Supervisor.
