The Project Coordinator will be a key member in supporting the delivery of these projects, ensuring seamless coordination and smooth operations throughout. What you’ll be doing Building and maintaining excellent relationships with stakeholders. Overseeing administrative tasks such as planning and scheduling project group meetings, preparing agendas, taking notes, and following up on agreed actions. Coordinating and reporting on risks, issues, actions, and decisions within projects. Identifying and addressing issues that arise during a project, including resolving conflicts, removing obstacles, and finding solutions to challenges. Ensuring timely and high-quality project reports are prepared and distributed to project partners. Monitoring and reporting on tasks and actions, ensuring timelines are agreed upon, all tasks are assigned, progress is tracked, and deadlines are met. Maintaining electronic records and files related to projects and supporting the management team with setting up a centralised database. Collecting and analysing data for case studies. Tracking project outputs, deliverables, and spending, and ensuring budgets are on target. Inputting job information into the tooling system. Ensuring the accuracy of billing invoices. Promptly escalating issues to the managers. On day one you will bring Proven experience in a coordination, hosting, or administrative role, preferably in a project setting. Strong organisation and communication skills, with good attention to detail. Ability to work collaboratively in a team and independently with minimal supervision. Proficiency in Microsoft Office and online collaboration tools (e.g., travel platforms). Ability to work effectively under pressure in a fast-paced environment. Experience in building, maintaining, and working to budgets. Ability to handle multiple tasks simultaneously and adapt to changing situations quickly. A collaborative, team-player mindset, considering the wider business reputation and impact. Initiative and a passion for providing a high-quality experience to colleagues, delegations, or learners. Experience working with international stakeholders, with awareness of cultural, geographical, and hierarchical factors.
