Scot JCB Group are recruiting for an Assistant Parts Operations Manager to join our team based at our Glasgow Head Office.
The Assistant Parts Operations Manager plays a key role in supporting the Parts Operations Manager and assisting the Group Parts Manager in driving efficiency, improving processes, and supporting retail growth across the dealership’s parts operations. This role includes overseeing parts stock control, supporting the Field Parts Sales Rep, managing the eBay online shop, and ensuring effective training on the IFS system.
The successful candidate will work closely with parts staff across multiple locations to drive sales performance, ensure optimal stock management, and continuously improve operational standards. This role will involve regular travel to our depots across Scotland and England.
Responsibilities:
Operational Support & Process Improvement
* Support the region in adhering to parts processes and continuously improving operational standards.
* Assist in the implementation of best practices across all dealership locations.
* Work closely with the Parts Operations Manager to ensure alignment with business objectives.
Training & IFS System Support
* Lead IFS system onboarding for new staff and provide ongoing training throughout the group.
* Act as the go-to person for system-related queries and troubleshooting.
* Ensure team members are fully proficient in using IFS for stock management, order processing, and reporting.
Retail Growth & Campaign Administration
* Support the retail growth plan by managing campaign administration, including tracking promotions, sales events, and marketing initiatives.
* Collaborate with the sales and marketing teams to execute effective parts campaigns.
Sales Performance & Stock Control
* Work closely with parts staff to monitor and improve sales performance.
* Assist in stock control and ordering using Syncron, ensuring correct stock levels across all locations.
* Support the team in identifying and resolving stock-related issues.
* eBay Online Shop Management
* Lead the group eBay online shop project, supporting the team to ensure accurate listings, pricing, and availability of parts.
* Monitor online sales performance and implement strategies to increase revenue.
* Handle customer inquiries and resolve issues related to online orders.
Field Parts Sales Support
* Provide direct support to the Field Parts Sales Rep, ensuring they have access to the necessary stock, pricing information, and promotional materials.
* Assist in coordinating field sales activities, ensuring smooth order fulfilment and customer satisfaction.
Staff Support & Issue Resolution
* Provide day-to-day support to parts staff on all operational issues.
* Act as a key point of contact for troubleshooting and resolving challenges.
Reporting & Administration
* Generate and manage reports as required by management, ensuring accurate data analysis.
* Provide insights to support decision-making and business improvements.
* Ensure all reporting aligns with company objectives and operational standards.
Required skills and behaviours:
* Strong understanding of parts operations in the construction and agricultural equipment industry
* Proven background in an operations role
* Experience with IFS or similar enterprise systems
* Ability to train and mentor staff on system use and best practices
* Strong analytical and problem-solving skills for sales performance tracking and stock control
* Excellent organisational and administrative skills with attention to detail
* Strong communication and interpersonal skills to collaborate across multiple locations
* Experience managing e-commerce platforms (eBay or similar) is an advantage
