We are looking for a talented and enthusiastic Executive Support Officer (ESO) to work as part of a small team supporting our Directors in the Faculty of Health, Innovation, Technology and Science. Previous experience in a similar role would be an advantage, but as importantly you will be self-motivated, pro-active, possess excellent administrative and IT skills and be comfortable working in a rapidly changing environment. This is 9-month fixed term appointment to cover maternity leave.
What will you be doing? The team will:
* Proactively manage diaries to ensure the smooth running of all day-to-day activities, using professional judgement to effectively balance their time, prioritising the most important meetings, identifying, and resolving conflicts before they arise and anticipating requirements in advance
* Arrange and support a range of meetings with both external stakeholders and internal colleagues
* Give secretariat support, including collating and circulating agendas and papers, and taking accurate and concise minutes or notes, for a range of routine, complex, technical, or confidential meetings
* Provide help and support to Directors and their teams on a range of ad hoc and longer-term projects and pieces of work
* Draft suitable replies to correspondence where appropriate and to research background information as required
What are we looking for? The ESO post holder will have:
* Demonstrable experience with a wide range of external stakeholders
* A sound and grounded understanding of the importance in building, nurturing and protecting relationships between the Faculty PVC, students, staff, key external stakeholders and professional bodies
* Efficient IT skills, especially competent in the use of Microsoft Office
* Effective communication skills, both written and oral, with great attention to detail
* A high level of discretion and integrity
* Demonstrate problem-solving skills.
