Main Purpose: To provide support to Style Acre as a whole, and specifically the Operations Team and Ways to Wellness Programme, dealing with administrative tasks to ensure the efficient running of the teams, key projects and the charity as a whole. Principal Responsibilities: Administrative Support to Style Acre To act as first point of contact for Style Acre, for incoming and outgoing calls. To provide cover for general office support such as taking phone calls, direct messages appropriately, deal with incoming and outgoing mail, welcome visitors and respond to general office enquiries. To undertake general word processing, filing and copying documentation as necessary. To undertake co-responsibility for management of the office site at Howbery park, including liaison with Howbery Park, ordering of stationery and basic health and safety management. Provide general administrative support to Style Acre including maintenance of key data bases such as the drivers data base. Communication, coordination and assembly of information for specific projects. To assist in the future development of appropriate administrative systems across Style Acre. To undertake any other duties as required by the relevant Directors. Administrative Support to the Operations Team: To assist in managing and maintaining Operations databases and filing systems. To collate and produce reports such as monthly Nourish reports, for compliance. Prepare agendas, papers and take minutes for meetings as required. Provide confidential support to Operations team when required, including minute writing for investigations, grievances and disciplinary meetings. Provide ad hoc support to the Operations teams as required. Administrative Support to the Ways to Wellness Programme Main areas: Finance support – e.g. processing invoices, tracking expenditure, managing cash from sessions. Engagement support – e.g. tracking engagement and gaps in engagement, supporting with calls and emails to managers/support staff. Monitoring and evaluation – e.g. tracking and chasing surveys, tracking other feedback, case studies, tracking engagement and outcomes. Key tasks: Hold details of all weekly programme delivery partners and be a point of contact for some in case a session needs to be cancelled etc. Monitor Risk Assessments and advise when it is time for them be reviewed. Process invoices for room hire and instructors. Process cash from session fees. Track all finances related to weekly programme. Use monitoring spreadsheet to track who is engaging in which activities and identify any gaps in engagement. Use monitoring spreadsheet to track numbers attending/engaging with activities, wellbeing projects and events, for funding purposes. Support with engagement phone calls and emails. Track and chase surveys around wellbeing. Help establish more effective systems and processes for monitoring health and wellbeing outcomes and help gather data. Other tasks could include: Assisting with projects and events. Helping with comms – workplace posts, emails, content for newsletters, designing posters. General: To undertake any other duties of a similar nature and level of responsibility which may be required by your employer.
