Job Description
Exeter UNESCO City of Literature (ExCoL) is seeking a temporary Events Producer. You will be responsible for producing and co-producing ExCoL’s stakeholder and public events including our large annual Book Market on Sunday June 8th, an author gathering in the spring, an experiential private stakeholder event in October, and other one-off events as needed.
Our events and programmes are high-quality, informative yet fun, and experiential in nature. We pride ourselves on creating an inclusive, warm, and unique atmosphere at our events; we want everyone to feel welcome and to come away with a sense of feeling fulfilled culturally and socially.
The role of the Events Producer is to manage the logistics of our events to enable them to go as smoothly as possible. You’re someone who is actively engaged in your community, passionate about building local connections, and you have a strong sense of where young professionals and diverse audiences like to spend their free time. Depending on the nature of the event or programme, the Event Producer may also be involved in bringing content ideas to the table and seeing them through to completion.
Responsibilities
1. The Events Producer will play a crucial role in expanding the reach of ExCoL’s charitable work by:
2. Working with the Executive Director, Public Programmes Manager, Communications Associate, and/or trustees to establish a vision for events.
3. Ensuring event production, staffing/volunteers, and revenue requirements are delivered to a high quality and to agreed timescales and budget.
4. Handling venue bookings, coordinating drayage, and sourcing any necessary equipment and materials.
5. Coordinating with the Communications Associate to ensure information for marketing campaigns are underway far in advance.
6. Prioritising attendee experience at every aspect of an event.
7. Completing production itineraries and risk assessments.
8. Creating and updating multiple spreadsheets to keep track of details.
9. Being present onsite during the events to manage logistics, participate in set-up and breakdown, and, where applicable, coordinate staff and volunteer support.
10. Proactively troubleshooting and planning for problems that may arise.
11. Completing an event debrief to communicate to the team what went well and what learnings to bring to the next event.
Fee: £200-£300 per day depending on experience. You will invoice us once a month.
Contract: Temporary and part-time until the end of October, with the possibility of a contract extension.
The role will average approximately 1-2 days per week, more during the larger events (such as the Book Market on a Sunday in June).
Location: On location/hybrid. You must be available to work in Exeter as needed, particularly in the lead up and during events, some of which may take place during evenings and weekends.
Responsible to: Executive Director, working closely with the Public Programmes Manager and Communications Associate.
