Main Purpose of the Role The operations team has responsibility for the delivery of Vysiion solutions and services to customer focused and internal projects via teams of project managers, technical architects and engineering teams. Working across the Vysiion portfolio of projects, this Project Coordinator role will be responsible for the provision of a range of support services to these teams as well as maintaining project standards, contributing to the project reporting cycle and providing project assurance to Vysiion senior management and leadership team. This is a key delivery role predominantly focused on our Operational Technology (OT) related projects in the Critical National Infrastructure sector but the holder will be expected to be actively involved in the continued development of project support capabilities; people, process, performance, promotion and project management information systems (PMIS) across Vysiion. Key Tasks & Responsibilities: Organise Operations As required, own and deliver tasks or work packages at the discretion of the Project Manager. Engage with technical team members to deliver quotations and BoM's, that are aligned to customer requirements, in a timely manner. Co-ordinate change management activities to ensure timely delivery allowing benefits to be realised at earliest opportunity. Contribute to the institutionalisation of effective project and service processes and procedures. Responsible for creating, reviewing and the amendment of processes and procedures. Encourage the adoption of existing and new Vysiion standards, policies and processes to support regulatory compliance and audit controls. Report progress, change, issues, dependencies and risks of projects to the Project Manager, Programme Lead and Head of Delivery and where possible, make recommendations to influence decision making in order to maintain progress towards delivery and benefits realisation. Actively manage and update schedules, KanBan board tasks, Meisterplan and Ops Reports through liaison with project engineers, contractors and project managers. Actively create and publish (via marketing team) within Vysiion and Exponential-e, success stories from across the delivery portfolio. Update action logs, take minutes, prepare documentation and arrange meetings. The role holder should be prepared / capable of standing in for the project manager and deliver presentations as needed. Assess risks and issues, work with teams to explore, develop and deliver effective mitigation and contingency countermeasures. Provide a consolidation of outcomes from projects and feed these back into the business to assist future sales opportunities and the harvesting of active accounts for additional revenue. Assurance of Operations Set high expectations concerning quality and put in place quality assurance processes in line with existing ISO accreditations. Validate that operations team activities, operate within, or in harmony with company policies and procedures. Responsible for the monthly consolidation of project financial reports and explore new reporting and performance measures to underpin decision making. Actively involved in financial estimating and gate review activities (PID/SoW, Delivery and Close), across inflight projects, programmes and services. Provide validation of project (financial) accounting with corporate financial managers. Liaise with managers to capture and monitor cost and revenue across projects. Planning: Assist project managers in developing plans and documentation against defined criteria; time, quality, cost. Desired Experience of operating in multi-client and scaled agile environments. Experience & Qualifications Experience of a project support or coordination role as is a strong desire and energy to succeed in building a stable project delivery. Ideally qualified to PRINCE2 Foundation level APM PFQ (Project Fundamentals Qualification) or with demonstrable project management knowledge from academia or the workplace. Coherent in the use of M365 tools, particularly Excel where the role holder will be expected to lead others in its use. Professional and courteous manner. Demonstrable experience in: Working in an organisation that plans, executes and reviews success of tasks. Direct communications with stakeholders, customers or end users.
