We are currently seeking a Commercial Administrator to join our Dartford based maintenance team to provide commercial administration support to our quantity surveyors and commercial managers. The team is responsible for ensuring that repairs undertaken for our NHS buildings are appropriately costed and then invoiced in line with contract terms.
We manage over 100 buildings across the South East of England on behalf of the NHS and undertake repairs to plumbing, electrical, carpentry, painting/decorating and much more. Rydon Maintenance is an expanding division of the Rydon Group and is successfully providing facilities management services to a variety of clients, predominantly within the healthcare sector.
Job Purpose
The role is contractually based at our offices in Dartford, however we are able to offer Hybrid Working (ie blend of home working and office based working) for the right person should this be preferred.
Our commercial team is responsible for providing support to our NHS maintenance contracts, ensuring that the financial aspects of each of these contracts operate effectively.
As Commercial Administrator, you will be principally responsible for providing commercial support to our quantity surveyors and commercial managers. Day to day, the Commercial Administrator will provide commercial administration across multiple healthcare maintenance contracts. This will involve liaising with our contract managers and service managers to ensure that work undertaken is correctly charged to our clients. You will agree invoicing schedules for works that have been undertaken, produce statements of accounts, issue invoices and ensure that these are paid in line with standard payment terms. In addition, you will run regular reports through our Facilities Management system to monitor regular costs, identifying trends and anomalies that require further investigation. Where work has been subcontracted, the commercial administrator will liaise with the companies involved to ensure that payments are made on time and in line with the expected costs.
The role includes communication both within and outside of Rydon; with our Clients and Subcontractors. Therefore, the role will also involve plenty of telephone and email communication in order to progress queries to conclusion efficiently.

Experience Required
Previous Commercial Administration experience would be a distinct advantage; however, it is not essential. If you have strong administration and communication skills gained within an environment similar to buildings maintenance, we would also be delighted to hear from you. You will need to demonstrate good numeracy, written and verbal communication skills and have a strong eye for detail. The preferred candidate will also have strong Microsoft Packages experience such as Word, Excel, and Outlook.
