Job Title: Night Auditor Department: Front Office Reports To: Front Office Manager Work Hours: Overnight Shift (typically 11:00 PM to 7:30 AM) Job Summary: The Night Auditor oversees the front desk operations during the night shift, ensuring that guest service is maintained and financial transactions are balanced for the hotel. This includes providing excellent customer service, checking guests in and out, handling reservations, and preparing end-of-day reports. Key Responsibilities: Accounting and Financial Reconciliation: Audit and balance daily transactions: Verify the accuracy of guest accounts, including room charges, food, beverages, and other services. End-of-day reporting: Prepare and review financial reports, ensuring all revenue and expenses are properly accounted for. Post daily transactions: Ensure that all revenue earned by the hotel during the day is recorded correctly and balance the system. Cash handling: Reconcile cash drawers and deposits, ensuring that any discrepancies are resolved. Guest Services: Check-ins and Check-outs: Perform late-night guest check-ins and early-morning check-outs efficiently and accurately. Reservations: Process new reservations, cancellations, and modifications during the night shift. Customer Assistance: Address guest inquiries, requests, and concerns, ensuring a high standard of service even during late hours. Security: Monitor security systems and ensure guest safety throughout the night. Respond to emergency situations promptly. Administrative Tasks: Daily Reports: Compile and distribute necessary reports for hotel management, including occupancy rates, revenue, and guest feedback. Data Entry: Update guest information, reservations, and billing details accurately in the property management system (PMS). Communication: Maintain clear communication with other hotel departments to ensure a seamless guest experience across shifts. Problem Resolution: Handle guest complaints: Resolve any issues or complaints in a professional manner or escalate to management as necessary. Coordinate with maintenance and housekeeping: Report any issues (e.g., maintenance requests, room issues) to ensure a smooth operation. Skills and Qualifications: Customer Service Skills: Strong interpersonal and communication skills to interact with guests in a friendly and professional manner. Accounting Knowledge: Basic understanding of accounting principles and financial reconciliation. Attention to Detail: Ability to handle financial data accurately and identify discrepancies. Problem-Solving: Ability to handle emergencies, guest complaints, and operational challenges independently. Technical Skills: Familiarity with hotel property management systems (PMS) and Microsoft Office Suite (Excel, Word). Multitasking: Ability to manage front desk operations, guest services, and accounting tasks simultaneously. Qualifications: Prior experience in hotel front desk operations or accounting preferred. Ability to work overnight shifts, weekends, and holidays. Familiarity with hotel software systems (Opera, OnQ, or similar) is an advantage. Strong math and basic accounting skills.
