The Role
Internal Title - People & Capability Advisor – UK & Ireland (Family Leave Cover)
Location: UK, Northampton + Flex
Duration: 24th February 2024 – 31st December 2024
Hours: 20 hours per week, flexible on days and times, but some flexibility may be required if chosen days do not align with payroll cut-off dates.
Reports To: Head of People & Capability – UK & Ireland
Main Purpose:
Provide dedicated payroll and employee relations support to people leaders. Ensure timely and accurate delivery of payroll via ADP portal in compliance with business and legal requirements. Assist people leaders with employee relations issues such as absence, disciplinary, and grievance processes, offering expert guidance and support throughout the resolution process. Provide generalist HR support to the business, assisting the Head of People & Capability to develop and deliver a seamless employee experience.
Responsibilities:
1. Recruitment & Onboarding: Work with Recruitment Partner to maximise RPO agreement; handle end-to-end recruitment activities, including ATS management, job advert creation, CV screening, and interview planning. Coordinate job offers, ensure remuneration is benchmarked, draft employment contracts, and prepare candidate welcome packs. Support hiring managers with new starter induction plans and deliver P&C & H&S inductions.
2. Payroll & Benefits: Oversee monthly payroll cycle for UK & Ireland, prepare monthly payroll in ADP portal. Respond to payroll & benefits queries promptly and manage benefits coordination, promoting self-service.
3. Employee Lifecycle: Address general employee experience enquiries, promote self-service solutions, handle contractual changes, and manage the leaver process. Support employee relations, draft letters and guides, assist in disciplinary hearings, and support complex cases with the Head of People & Capability. Advise on best practice people procedures aligned with business strategy and support talent development plans.
4. Projects: Develop and coordinate project plans for HR, H&S, and business strategic commitments, ensuring timely delivery and alignment with global contexts. Identify and contribute to improvement activities enhancing employee engagement and experience.
5. Compliance: Ensure accurate processing and management of employee data within Workday, maintain records, and conduct regular audits for legal compliance. Review people policies for effectiveness and compliance, promote self-service functions, and provide training as needed.
6. Health & Safety: Demonstrate H&S leadership, promote a culture of safety, follow safety instructions, report hazards, and support compliance with regulations.
7. Brand Ambassador: Champion HR and H&S practices aligning with global direction, develop valuable relationships, and act as a brand ambassador in all interactions.
Qualifications & Experience: Previous experience in a similar HR generalist role, including payroll, is essential. CIPD Level 3 or 5 qualified, studying towards, or equivalent degree or work experience. High-performing team/company experience is desirable. Experience using Workday or other global HR and ATS systems is beneficial. Good knowledge of UK employment law, ACAS, and standard people policies. Confident handling data with good knowledge of HR metrics and commercial acumen. Proficient IT skills: MS Excel, PowerPoint, Word, SharePoint, Teams, Outlook, LinkedIn. Positive attitude and flexible approach to change, with a strong desire for self-development. Experience in a premium culture and similar industry (retailer, manufacturer) is beneficial.
