My client based in Winnersh is seeking an IFA Administrator to join their team specializing in pensions, retirement, and international family wealth. You will be responsible for dealing with queries from clients, ensuring all communication is accurately recorded, and obtaining policy information.
Duties
1. Quickly and effectively deal with queries from clients through clear and thorough communication.
2. Ensure all written and electronic client communication is accurately recorded and maintained.
3. Collect, collate, and record client policy information and critical data in accordance with the principles of KYC.
4. Obtain policy information, quotes, illustrations, and product details.
5. New client on-boarding from initial contact until funds are invested.
6. Process and submit new business to providers and ensure applications are completed efficiently.
7. Placing investment trades, fund switches, and occasionally conducting peer reviews on fund switches instructed by colleagues.
8. Organizing financial planning annual reviews with clients on behalf of the Financial Adviser.
9. Prepare documentation for initial client meetings and annual financial reviews, including product literature, illustrations, provider forms, and client agreements.
10. Be proficient in sending critical client data by DocuSign and other electronic methods.
11. Create, schedule, and manage follow-up tasks relating to client meetings, ad-hoc requests, and new business submissions.
12. Comply with internal and FCA compliance policies and procedures, ensuring all client data and information remain confidential and compliant (e.g., AML & GDPR).
13. Commit to continuous personal development.
14. Assist and work collaboratively with other members of the Administration and Paraplanning team.
15. Support with the training and development of new administration staff.
16. Peer review colleague work, which may include new applications and technical fund switches on provider platforms.
Experience & Qualifications
1. A minimum of 1 year of experience within the financial services industry.
2. Experience using iO is desired, but not essential.
3. Strong technical knowledge of investments, pensions, and family wealth planning.
4. Excellent written and verbal communication skills are essential.
5. A very high attention to detail and accuracy is also essential.
6. Demonstrable experience delivering the highest level of service to clients.
7. Excellent IT skills and proficiency in Microsoft Office packages, with intermediate knowledge of Excel.
8. Understanding the needs of the business's Financial Advisers as well as FCA rules and requirements.
9. Industry qualifications are desired, but not essential.
