We love bringing our young learners from around the world together through a common language and building global connections. _____________________________________________________________________________________________ Location: Brighton, UK Reporting to: Commercial Operations Manager Fixed Term FT Contract: 3 March - 31 August 2025 The Operations Assistant plays a crucial role in supporting the operations team in the preparation, delivery, and ongoing monitoring of the summer school programme. Under the guidance of the Commercial Operations Manager, you will assist with managing logistics, resources, and day-to-day operational tasks. The role demands excellent organisational skills, attention to detail, and the ability to work efficiently in a fast-paced and dynamic environment. Key Responsibilities: Collect occupancy numbers and meal provision records from centres on a weekly basis to ensure alignment with student volumes and centre budgets. Assist in the planning, preparation, and distribution of stock for summer centres. Coordinate stock deliveries alongside the IT department, prepare centre phones, and obtain supplier quotations for cost-effective ordering. Provide administrative support to the Operations team and Commercial Operations Manager. Prepare and submit weekly reports on resource use (coaches, attractions, meals, damages etc.) and resolve discrepancies. Resolve shortfalls in stock and arrange timely deliveries. Support Programme Managers and assist with centre operations. Assist with supplier invoices for accuracy. Assist with end-of-summer stock reconciliation. Adhere to the EC Young Learners Code of Conduct, as well as all local policies and procedures related to academics, welfare, and safeguarding. Knowledge/Skills: Organisation & Time Management: Efficiently prioritise tasks and meet deadlines in a fast-paced environment. Communication: Strong written and verbal skills for liaising with teams and external partners. Attention to Detail: Ensure accuracy in reports, invoices, and stock management. Logistics & Resource Management: Coordinate deliveries and manage stock across multiple centres. Technical Skills: Proficient in Microsoft Office, especially Excel. Problem-Solving: Identify and resolve operational challenges promptly. Customer Focus: Deliver exceptional service to staff, suppliers, and stakeholders. Physical Ability: Comfortable with physical tasks, including lifting and handling stock. Job-Specific Competencies: Operational Support: Assist with day-to-day operations, ensuring smooth logistics and resource management. Resource Auditing & Reporting: Prepare weekly reports on resource use and resolve discrepancies. Inventory & Stock Control: Manage stock ordering, distribution, and inventory checks. Invoice Management: Assist with supplier invoices for accuracy. End-of-Summer Stock Check: Assist with inventory reconciliation at the end of the summer programme.
