Job overview
The Buckinghamshire Recovery College are seeking a motivated and enthusiastic Administrator. The Recovery College administrator will work closely with the Recovery College Lead and Recovery College Clinical Coordinator to ensure the effective day to day running of the Buckinghamshire Recovery College.
You will be responsible for setting up and operating effective administrative systems which includes, but is not limited to: being the first point of contact for the College, advertising the college, updating the database, updating registers, filing enrolment forms, contacting students via phone, text, and email, supporting the Recovery College Lead and Clinical Coordinator to manage the bookings of the courses/workshops and community venues, and effective data collection and management for the College.
Main duties of the job
* Support the Recovery College Lead and College Clinical Coordinator in the development of the Recovery College as it moves to sit within the Primary Care Mental health Hubs (PCMHH) and offers a wider remit and service to the community of Buckinghamshire.
* Liaise with Recovery College staff, lived experience tutors and professional tutors to help arrange the College terms, courses, timetables for all college courses and the prospectus whilst adhering to all principles of co-production.
* Support for arranging events such as the College open days.
* Ensure procedures are in place for an inclusive enrolment process for new and returning students.
* Contact students via telephone, text and email as required and carry out meetings as appropriate with all new students to ensure a smooth enrolment process and reduce any potential barriers.
* Arrange and support the preparation of the venues for the delivery of the courses.

* Provide efficient and effective comprehensive administrative support to the team/service.
* Be the main contact and channel of communication for the Recovery College team and students, maintaining a professional but sympathetic approach.
* Manage any administrative assistants that may join the team.
* Provide a polite and efficient reception service to visitors if required.
* Ensure that high standards of data collection, storage and quality are maintained.
* Suggest and make recommendations for improvement to existing administration procedures.
* Provide administrative support for meetings as requested and ensure follow up action is completed.
* Maintain records for the Recovery College Lead including arranging meetings, preparing papers and minute meetings where necessary.
* Provide secretarial support to members of the team utilizing a high level of IT skills to produce quality documentation to support the work of the team.
* Respond to email, telephone enquiries and written enquiries using a high level of initiative and responding in a confidential and sensitive way.
Person specification
Qualifications
* Equivalent/previous experience in an Administration Assistant role.
* Evidence of continuous development of self.
* Recovery College train the trainer/co-production training or similar training.
Knowledge
* Knowledge and understanding of Recovery Colleges.
* Knowledge of the principles of the Recovery College model.
* Knowledge of comprehensive administrator systems.
* Comprehensive knowledge of using Office computer programs including Excel, Word, Microsoft Teams, and Outlook.
* Knowledge and experience of database management.
* Data analysis and interpretation skills.
* Proven experience in office management and experience of managing staff.
Skills
* Excellent written, verbal, and non-verbal communication skills.
* Ability to work to deadlines and prioritise a heavy workload, always ensuring attention to detail.
* Ability to produce good quality correspondence and reports.
* Organisational skills/managing diary systems and tracking information.
* Ability to liaise with all professionals and levels in a confident and effective manner.
Experience
* Experience of working in a Recovery College setting or mental health related setting/or personal lived experience as a service user or Carer.
* Experience of working in an administrator role.
* Experience of collecting, managing, and storing data/databases.
* Experience of co-production on Recovery College courses or within other areas.
