Summary
We are looking for a highly organized, positive and confident Office Manager who shows initiative working independently, is comfortable working in a fast-paced environment and is confident dealing with and supporting both internal and external senior stakeholders. This exciting opportunity requires a team player who maintains the smooth running of the office in London including Health & Safety, facilities, internal communications and providing outstanding administrative support to the Executive Team and corporate functions globally. This role requires a professional and discreet individual who can effectively communicate with all stakeholders (employees, managers, investors and customers).

The responsibilities of the role include:
* Facilities Office Management & Health and Safety for our London Office space based in Covent Garden and collaborate with our Global offices to ensure a consistent global approach where possible.
o Ensure all Smart Communications employees have a great place to work, a comfortable and positive work environment and be an internal advocate for employee feedback and support.
o Keep all communal office areas and meeting rooms tidy and presentable throughout the day.
o Liaise with suppliers/vendors on all office equipment and collaborate with internal teams for any office requirements i.e. IT, HR and Marketing.
o Act as primary contact for building management and security.
o Arrange courier deliveries and collections of parcels.
o Distribute mail and manage our external mail system.
o Order and maintain stationery, kitchen and office supplies.
o Work with our external Health & Safety Advisors to support our global locations and manage H&S compliance for our office locations and remote workers.
o Ad Hoc Administration Support.
o Provide Support and coordinate hospitality for any internal or external visitors to the London Office and planned meetings.
o Support the senior management team with ad hoc administrative duties.
o Support the Corporate functions with administrative support – e.g: Management reports and Board Pack preparation.
o Facilitate any team and company wide social events e.g. Christmas Party, summer events in the UK.
o Support marketing team, managing marketing supplies, storage, shipping etc of supplies to the UK.
What we're looking for:Must have skills/experience:

This role would suit an experienced office manager with prior UK Health and Safety experience with a firm grounding in an office environment who is looking to take their next step and gain experience in a highly commercial and fast-paced environment. * A background in Office and/or Facilities management.
* Excellent Communication skills, both written and verbal.

* Exceptional Customer Care skills.
* Extremely well-organised individual with a proven ability to manage conflicting priorities and sensitive topics discreetly.

* Experience supporting global travel and diary management and exec assistant support.
