Provide expert advice, support and guidance to teams across the business about job management and compliance system requirements and quality control of action plans to ensure that they are SMART, and effective arrangements are in place to ensure delivery. Assist with effective liaison, support and assistance between the transaction team and the rest of the organisation. Assist with developing and implementing plans for transactional management activities to include job management to performance targets and compliance management to demonstrate legal compliance. Develop and implement process mapping, guidance and maintain scripts for transaction service desk. Provide support to all other departments with transaction system/compliance system related issues. Extract data from the Job management and compliance systems to provide reports outlining key performance data and to prepare charts using excel in advance of monthly management team meetings. Implement a high-quality service, customer-oriented service championing “The Riverside Service Style” practices. Monitor transactional team performance, develop individual targets and monitor performance to ensure that colleagues and suppliers contacts, enquiries and data & records are responded to within agreed timescales and ensuring escalated and sensitive cases are given priority by the team. Monitor and track all issued works orders and purchase orders across the Building Safety department are assigned to suppliers, progressed to completion and monitored in line with contract requirements. Monitor the performance of the system to ensure automatic orders for compliance activities are created, assigned and received and appropriate timescales allocated to ensure completion prior to expiry of anniversary dates. Review the quality of colleagues and supplier responses and resolution and provide feedback to colleagues and develop lessons learned to feed into assurance and governance reporting. Constantly review work outputs, setting improvement targets and appraising individual performance. Support and lead where appropriate customer journey mapping. Provide day to day operational management of the Transactional Service desk: Job Management (order to our supply chain) end to end process including financial approval within appropriate approval limits. Development, implementation and management of digital interfaces between IT systems and 3rd party suppliers working in collaboration with the IT dept. Management of WIP, providing regular updates to suppliers, monitoring issued orders and working in collaboration with Senior repairs & compliance officers to complete orders with SLA. Ensure we receive appropriate evidence and certification of works and actions are obtained and recorded within appropriate systems. Assist in monitoring the progress of compliance works, including works carried out by third-party contractors, ensuring contract obligations are fulfilled in line with agreed performance frameworks, and underperformance is escalated via agreed routes. Support the identification post inspections of works to ensure adherence to specifications and work orders and compliance with statutory and regulatory requirements and Group policies and standards. Maintain accurate compliance records, including logging of reports, risk assessments and certificates using appropriate systems, ensuring the integrity and quality of data to enable regular analysis to be carried out and reporting to be completed as required. 2nd line of defence on checking certification, evidence records and data. Support the Compliance, repairs and estate teams as required in the management of works, certificate activity, including checking, processing, communicating to appropriate stakeholders, storage and anniversary planning to ensure robust compliance across the Group. Process payments for approved contracted works as required, ensuring expenditure is robustly managed in line with the Group’s financial controls. Contribute to the monitoring of budgets, authorizing low value payments as required, ensuring expenditure is robustly managed in line with the Group’s financial controls. Ensure internal business processes are followed in line with the Group’s policy, procedures and statutory requirements. i.e., GDPR data sharing, financial standing orders, approval limits, procurement policy etc. Support system development for all transactional-based IT solutions.
