To provide support to the Head of Corporate Administration, Administration Manager, Team Managers and the rest of the corporate team, in delivering a comprehensive service to the corporate clients. Following compliance guidelines and internal administration procedures at all times, you will ensure that you complete tasks in an efficient, timely and professional manner to ensure delivery of a service to the best possible standard. Key Responsibilities Providing general office duties, such as, but not limited to; Answering the telephnes in a professional manner, adhering to Company standards. T be responsible for the opening, scanning, and distributing of the post, adhering to Company standards. Scanning dcuments to the system as appropriate. Shredding dcuments as appropriate. Ensure that all time is recorded against corporate clients accurately and in a timely manner on Coretime (time management system) Liaise with corporate clients, Trustees and scheme members by telephone, email, post and in person, as required. Liaise with other third parties as required, such as, but not limited to Insurance Companies, the Pensions Regulator, HMRC, Accountants, Auditors, Actuaries and Solicitors. Attend and fully contribute in team meetings with the occupational schemes team and the wider corporate team, discussing internal and client matters. Operate within and adhere to the Company’s existing and continually developing operating systems, compliance regulations and procedures. Ensure compliance with legal and regulatory aspects of pensions administration and follow administration procedures at all times. Work with colleagues to ensure a ‘team approach’ in delivering a high standard of service to all corporate clients and scheme members reporting any compliance issues or suspected compliance breaches to the Compliance Manager as soon as possible. Support the hybrid advisers in the corporate team to provide a high-class administration service for corporate clients and scheme members. Maintain detailed data records on all corporate clients and scheme members ensuring they are kept up to date and accurate at all times. Build and Maintain relationships with corporate clients and scheme members to ensure a professional service at all times. Follow specified manual and computer-based procedures on internal systems as appropriate. Prepare, validate, upload and check contribution files and other data processing. Manage treasury (bank accounts) and pensioner payroll functions, as appropriate. Calculate and communicate member’s pension increases. Maintain treasury scheme cashbooks for all corporate clients as appropriate. Assist with complex member calculations as and when required. Maintain and track bank accounts against cash flow analysis for corporate clients as appropriate. Arrange investments and disinvestments as appropriate for corporate clients to maintain sufficient balances or in the case of settlements being required. Calculate (system based, pro-forma, manual) all member transactions as appropriate, following the procedures laid out internally, in legislation and under scheme rules and regulations. Prepare and issue paperwork & forms pertaining to member movements as appropriate. Complete annual renewals on all schemes as appropriate and prepare and issue annual benefit statements to all members as appropriate. Maintain the member portal at all times ensuring that it is kept up to date with all member movements and that all queries received through the portal are tracked and responded to within stipulated Service Level Agreements (SLA) in place with the corporate client. Respond to all corporate client and scheme member queries in a timely manner and within SLAs. Ensure that all requests from all parties, internal or external are logged in and out on internal post management systems against appropriate SLAs. Assist with the development and upkeep of all scheme documentation at all times, to include Chair’s statements, implementation statements, summary funding statements and statements of Investment principles. Maintain the scheme calendar/business plan and ensure up to date at all times. Attendance may be required at corporate client or trustee meetings from, time to time. You should represent Ascot Lloyd to the highest possible standards should this be necessary. Prepare, and circulate trustee meeting packs to include agendas, minutes, stewardship reports and other documentation as required. Peer review the work of more junior (or other) colleagues as appropriate. Train/Coach the more junior members of the team on, to include, systems, procedures, legislation and other core functions under the team. To complete Scheme Returns and liaise with HMRC and the Pensions Regulator as appropriate. To liaise with the Office of National Statistics and complete any scheme survey’s required. Maintain the systems (Pension Master/Intelligent Office) to ensure they remain accurate and up to date at all times. Experience/Skills Required Computer literate in Microsoft Office and other applications Excellent communication skills both written and verbal. Good levels of Industry knowledge (preferred but not essential) Willingness to study towards professional qualifications (preferred but not essential)
