The role:
We are seeking an Operations Assistant to join our expanding Operations Team. This role supports the operational team to deliver and continuously improve global Re:link financial, operational, HR and technology processes and activities to deliver exceptional client service. The ideal candidate will have a keen eye for detail, great communication skills, excellent organisational skills, and a proactive approach to managing tasks and improving existing processes.
Your main responsibilities will include:
1. Support the Operations Team members with the ongoing onboarding of consultants and placements, and maintenance of live assignments. This includes taking responsibility for certain workstreams and BAU tasks including time recording, reporting, HR and finance.
Reporting:
* Coordinate and distribute weekly, fortnightly, monthly and quarterly reports for internal and external stakeholders, including:
* Checking and dispatching specific client timesheets to clients.
* Assisting in the preparation of utilisation reports for internal placements.
* Updating the live assignment list.
* Deliver comprehensive training on Bullhorn for effective data management. Monitor and ensure quality of data input into database reflecting key statistics.
Assist with onboarding and offboarding processes for our consultants, including:
* Maintain security questions for IT sheets, assisting with the setup for new joiners.
* Support the Operations Team members in requesting and monitoring the creation of IT accounts and devices.
Time Recording:
* Oversee weekly and monthly time submissions, updating databases and leave trackers as needed.
* Coordinate with Finance to adjust start dates and activate necessary segments in Intapp.
Provide ad hoc assistance to wider team:
* Provide backup support across the team to ensure continuity of operations, stepping in to assist other team members inside and outside of the operations function during high-demand periods.
Process Improvement Initiation:
* Identify opportunities for process enhancements to streamline operations.
* Implement efficiencies in routine tasks and onboarding procedures.
* Assist the Operations team and wider Re:link team to drive and embed the use of AI in our business practices.
Administrative Support:
* Perform routine administrative tasks, including handling finance queries and managing documentation.
* Monitor and assist in the management of the Re:link inbox, ensuring timely escalation of queries to the appropriate team members.
* Ensure the extraction of key data elements from correspondence sent by the wider team.
* Assisting with arranging key meetings for the team, clients and consultants.
We are ideally looking for:
* Experience in operational or administrative roles, preferably within a legal, recruitment or corporate HR setting.
* Proficiency with Microsoft Office and a good understanding of recruitment/HR/finance and related software.
* Proactive and adaptable, with a focus on continuous improvement.
