Mar Hall Hotel, Golf & Spa Resort, a gem nestled in the heart of Scotland, has recently been acquired by Dutco, a prestigious Dubai-based company, with ambitious plans for luxury and innovation. Our extensive refurbishment programme includes expanding and upgrading the property to see it repositioned as one of the best hotels in Scotland and an international destination. Plans include new luxury woodland lodges, revitalised golf, spa & leisure facilities, and a refurbishment of our guestrooms and public spaces. As we embark on this thrilling new chapter, we are searching for a skilled and dedicated Finance Assistant to join our team and be a part of this exciting new world. Key responsibilities of the Finance Assistant will include: To over see the Purchase Ledger Function. To load all invoice onto Dext for approval. To match Invoices to Purchase Orders and highlight any discrepancies. To ensure all invoices are signed off by the correct Manager and are ready for input on to Xero To reconcile statements and liaise with suppliers regarding payment dates, and to copy invoices. To liaise with departments if they overspend on their departmental budgets. To produce BACs run and prioritise supplier’s payments. To check the terms and conditions on contracts for new suppliers. To investigate Credit Balances, checking and processing Expenses. To run a weekly departmental expenditure report. Prepare monthly management reports and analysis, reviewing with Financial Controller and complete balance sheet reconciliations. Audit of existing finance systems to ensure accuracy of coding and data capture. Monitor conduct and compliance at business level, record keeping process to include PCI compliance. Audit the controls in place and advise/support the implementation of practices to maximise profit. Provide support in the preparation of budgets and business plans for each hotel. Implement revenue controls and audit cost control and process. Oversee the management of the debt ledger, manage applications for credit, and monitor credit levels in line with defined limits to reduce company risk. Monitor and advise on the purchase ledger, ensure compliance to the purchase order system, highlighting and advising on potential cost savings. Ensure there are correct inventory controls in place for the purchasing, receiving and movement of stock and review stock holding days. Oversee Fourth Payroll with daily reporting to HODs. Support with the production of the monthly payroll for approval. Cash book, bank reconciliation, review statements and reconcile at month end. To assist in the production of reports and data feeds into internal business systems. The Ideal Finance Assistant: Experience in a similar role Expreience using, Xero, Dext and Fourth would be an advantage Strong organisational and time management skills. Attention to detail and accuracy in record-keeping. Excellent communication and interpersonal skills.
