We are seeking a highly motivated and organised Production Assistant to join our production team. In this role, you will assist in the smooth running of photo and film productions, helping with logistical tasks, coordination, and hands-on support during pre-production, shoot days, and post-production. Additionally, you will assist the agents team in managing talent, scheduling, and client relations. Responsibilities:
1. Pre-production Support:
o Help source and organize equipment, assistants, studios, locations.
o Assist with coordinating shoot schedules and client communications.
o Assist in the preparation of production paperwork, including call sheets, shot lists, vendor contracts and pre-production decks.
o Ensure all necessary materials are ready and available for shoot days.
o Help oversee travel arrangements & logistics for projects, where necessary.
o Opportunity to pre-produce smaller projects – editorials, personal shoots depending on experience.
2. On-set Support:
o Help with setup and breakdown of equipment on location or in studio.
o Assist on-set operations, ensuring that shoots run smoothly, locations are always tidy and safe and addressing any issues that arise promptly, helping with logistical details.
o Provide general support to producer, photographers, stylists, and other team members during shoots.
o Support with administrative tasks such as photo and location release forms.
o Coordinate transportation and accommodations for talent and crew, as needed.
3. Post-production Assistance:
o Assist with organising files for post-production workflows.
o Help manage the return and storage of equipment and props after shoots.
o Maintain accurate records of production expenses and assist with budget reconciliation.
4. Support for the Agents Team:
o Assist agents with managing talent schedules and coordinating bookings for photoshoots.
o Help maintain and update talent databases, ensuring all information is current and accurate.
o Provide administrative support to agents, including preparing portfolio decks, website updates, social media posts and other documentation.
o Collaborate with agents to ensure seamless coordination between talent, clients, and production teams.
5. Client and Vendor Coordination:
o Assist in liaising with clients, talent, and external vendors to ensure expectations are met and deadlines are adhered to.
o Provide customer service during photoshoots, ensuring a positive experience for all involved.
o Stay up-to-date with industry trends, technology, and best practices to continually improve production processes.
Qualifications:
* Previous experience in a production or creative environment is a plus, but not required. Entry-level candidates with a passion for photography and film production are encouraged to apply.
* Strong organizational and time-management skills.
* Ability to work well under pressure, meet tight deadlines and multitask and adapt to changing priorities within a fast-paced industry.
* Excellent communication skills and a team-oriented mindset.
* Capability to work independently and part of a team.
* Basic knowledge of photography equipment and production processes is helpful.
* Flexibility to work irregular hours, including evenings and weekends, as needed for shoots.
* A valid driver’s license is preferable but not a necessity.
