SPEC Engineering is a Global Engineering Company with new offices based in Leatherhead, Surrey. We are looking for an experienced EA to join our growing team in the UK. Our Owners/Founders require a unique individual to assist with Personal Administration in addition to the usual responsibilities of an EA. Responsibilities As an Executive Assistant you must be prepared to work in a fast-paced environment and possess the ability to be flexible in many different situations. Whilst a lot of the responsibilities of an Executive Assistant are specific to the office, general duties expected include: Calendar management : Organize schedules, set up appointments, and reminders Travel arrangements : Plan domestic and international travel, prepare itineraries, and track expenses. Amend flights and bookings where necessary Meeting coordination : Set up meetings, prepare materials, and take meeting minutes for teams calls and face to face meetings. Expense management : Track and manage expenses, and ensure they align with company policy and budget. Documentation : Prepare board packs, research, and corporate documents. Collaboration: Working directly with UK Management Team. Admin: Preparing corporate documents where necessary including efficient and quality typing of reports, presentations, emails and correspondence. Taking minutes at meetings eg Board Meeting. Confidentiality: Maintaining strict confidentiality at all times. In addition to the above you will expected to manage miscellaneous issues such as running errands, arranging lunch for CEOs and any visitors and arranging refreshments for meetings. The UK CEO and Group CEO will also need additional support in relation to personal administrative tasks such as reminding the Director of personal commitments and making arrangements for personal travel. Liaising with contractors for personal projects and other tasks as necessary. Qualifications and Experience The ideal candidate must have previous experience as an Executive Assistant providing support at directorial level, coupled with the ability and flexibility to respond to ever changing deadlines. Have experience in the following: Multitasking : Handle multiple tasks at once Time management : Prioritize tasks, meet deadlines, and keep schedules organized Communication : Communicate clearly and manage expectations Confidentiality : Handle sensitive and confidential information Experience in dictation and note taking Be pro-active and be able to use your own initiative whilst being an excellent team member, collaborating with the wider team. All candidates must have: A minimum of Maths and English at GCSE level Right to Work in the UK without Sponsorship Be able to commit to working 5 days a week on site at our offices in Leatherhead, Surrey The flexibility to take calls and emails outside of standard working hours due to CEOs Global Travel commitments A qualification in Typing or Shorthand would be advantageous.
