The Role:
The Procurement Officer is responsible for overseeing the procurement process within the organisation. This role involves sourcing and purchasing goods, services, and materials that the company requires to operate efficiently. You will collaborate with various departments to understand their needs, negotiate with suppliers, manage supplier relationships, and ensure compliance with company policies, budgets, and timelines.
Procurement Strategy & Planning:
* Assisting the Head of Financial Operations in developing, implementing, and overseeing the organisation’s procurement strategy to ensure alignment with business objectives and operational needs.
* Collaborating with senior management and department heads to understand requirements and create procurement plans.
* Ensuring consistency and best practices across all purchasing processes.
Supplier Sourcing & Management:
* Sourcing, evaluating, and selecting suppliers based on quality, cost, reliability, and delivery capabilities.
* Negotiating contracts with suppliers to ensure favourable terms and long-term relationships.
* Developing and maintaining a preferred supplier list, ensuring compliance with quality standards, ethical practices, and pricing agreements.
* Assessing supplier performance and managing relationships to optimise value, quality, and delivery timelines.
Procurement Operations:
* Overseeing the end-to-end procurement cycle, including purchasing, contract negotiation, supplier selection, order fulfilment, and delivery.
* Ensuring that all procurement activities comply with internal policies and regulatory requirements
* Preparing and overseeing procurement budgets, monitoring spending, and identifying opportunities for cost savings and process improvements.
Cost Control & Financial Management:
* Developing procurement budgets for goods and services across all departments.
* Identifying cost reduction opportunities and implementing sourcing strategies to improve profitability.
* Monitoring and controlling procurement expenditures, ensuring effective budget management and achieving savings targets.
Supplier Relationship Management:
* Building and maintaining strong relationships with suppliers and internal stakeholders to ensure smooth operations.
* Working closely with the operations teams to address any supplier-related issues, such as delays, quality concerns, or cost discrepancies.
* Acting as the primary point of contact for suppliers, resolving disputes and ensuring timely deliveries.
Compliance & Risk Management:
* Ensuring all procurement activities meet the company’s compliance, ethical standards, and regulatory requirements.
* Maintaining thorough records of contracts, purchase orders, and supplier communications.
* Continuously assess procurement risks and implement strategies to mitigate risks associated with supply chain disruption, quality issues, or non-compliance.
Reporting & Analytics:
* Developing and producing regular procurement reports, including purchasing trends, savings achievements, and supplier performance metrics.
* Using data analytics to make informed decisions about sourcing, supplier selection, and procurement strategies.
* Presenting procurement insights and performance reports to senior management and key stakeholders.
Continuous Improvement:
* Evaluating and improving procurement processes and systems for efficiency and effectiveness.
* Keeping updated with industry trends, best practices, and new technologies in procurement and supply chain management.
* Supporting and participating in process improvement initiatives to drive operational excellence.
Experience:
* 5+ years of experience in procurement, supply chain management, or a related field.
* Proven experience in negotiating contracts, managing suppliers, and managing procurement budgets.
* Experience in working with cross-functional teams and handling procurement for multiple departments or business units is highly desirable.
