Key duties and responsibilities To act as the first point of contact for patients, visitors and employees, providing a welcoming and professional reception and telephone service To ensure all individuals reporting to reception are dealt with courteously and professionally, including organising patient appointments and home visits Facilitate the passing of information to staff, patients and other Health Care providers. To answer incoming telephone calls promptly and efficiently, directing them to the correct individual or taking clear messages and ensuring they are actioned appropriately. To act as a team with administrators and receptionists, to ensure a high professional standard is met. Maintaining a high standard of cleanliness in the reception area and meeting rooms. Receiving and distributing incoming post and other deliveries, ensure they reach the correct department in a timely manner. To accurately record and retrieve patient and other data from the internal computer system, and deal with other computerised instructions from GPs and supervisors. Register new patients and amend patients records as required. Arrange repeat prescriptions for sending to local pharmacies. To complete other general administration duties as directed, such as filing, scanning, archiving and photocopying and to provide cover in the absence of colleagues. Other Responsibilities To act as an ambassador of The White House Surgery, maintaining honesty, integrity and trustworthiness at all times. The post holder will be expected to maintain strict confidentiality at all times The post holder will ensure they are aware of and apply health and safety and fire precautions across the practice. The post holder is to ensure data protection is maintained at all times. The post holder will be flexible in terms of working hours in order to meet service needs. The post holder will support The White House Surgery as required, across the range of duties as appropriate. The above responsibilities represent the current priorities and requirements for the post however these priorities will develop and evolve over time. Any significant changes will be the subject of full communication and consultation with the post holder.
