Interpath Advisory is searching for a Facilities Associate to join our dynamic Real Estate & Office Services team. The ideal candidate will play a crucial role in maintaining an organized and efficient work environment across multiple locations, ensuring that both staff and visitors have a safe and welcoming space. Key Responsibilities:
* Support the Facilities and Operations Manager:
o Assist in the day-to-day management of facilities across our network of 11 sites in Scotland and England.
o Handle various tasks related to new site openings in ROI/NI.
o Manage the Facilities Mailbox, responding to queries and requests.
o Code and log facilities invoices accurately for timely payments.
o Book, coordinate, and track maintenance jobs efficiently.
o Act as the primary contact for courier and Royal Mail inquiries.
o Oversee office supplies, catering, and stationery orders, reviewing and approving as necessary.
o Manage the security access system and maintain staff pass production.
o Provide support to the Facilities & Operations Manager as needed.
* Specific to the London Office:
o Provide cover for reception and hospitality during holidays.
o Handle courier bookings and Royal Mail OBA management.
o Conduct weekly facilities and health and safety checks.
o Address and resolve issues and faults within the office floor.
o Maintain tidy and fully stocked copy/stationery points.
o Conduct Day 1 building inductions for new employees.
o Set up and manage meeting room configurations.
o Ensure overall upkeep of office floor and meeting rooms, adhering to the clear desk policy.
o Act as a first aider and evacuation marshal.
o Take on general ad hoc facilities duties as required.
Requirements
* 2-4 years experience in a similar role
* Excellent communication skills with the ability to engage effectively at all levels.
* Strong interpersonal skills, with a focus on verbal and written excellence.
* Proficiency in IT, particularly in Microsoft Office applications.
* Demonstrated organisational skills and attention to detail.
* Ability to multitask and work independently.
* Capability to thrive under pressure and meet deadlines.
This role is based in our London Head Office, with a commitment of 35 hours per week across a shift pattern from 8 am to 6 pm, 5 days a week.
