Role Overview
The Site Services Manager is a very important part of the corporate management team, responsible for supporting the development & execution of the business strategy. The Site Services Manager is responsible for the day-to-day operation of the Contracts team, sub-contract installation teams, site supervisors (employed and sub-contract) and site health & safety.
Ensuring incoming information from sales & customers is speedily and accurately processed. The Contracts and Installation teams play a pivotal role in the Tanks Business Unit by coordinating the input of several disciplines to achieve customer satisfaction and maximizing the profitability of all projects. The role will also involve professionally resolving contractual issues with clients & reviewing/approving of contractual documentation.
* Effectively manage all members of your team, (contracts and sub-contract teams, employed and sub-contract site supervisors) to deliver service levels to our customers that exceed their expectations. Professionally, effectively & efficiently ensure the company concludes all customer orders in line with commitments made to the customer.
* Oversee the receipt and review: new order instructions from the sales team. Ensure all specific contract details are registered promptly & accurately. Competent members of the contracts team to form part of the subject matter experts team dealing with new project handovers.
* Contracts & installation team: review customer orders with as ordered quote; send order acknowledgment to the customer (within 24 hours) & complete contract review (within 72 hours) with the customer.
* Utilise and manage key company systems: Quest and Great Plains to run all projects.
* Working effectively: Disciplines of the operations team & maintain appropriate level of contact with the customer during the project lifecycle. Ensure delivery and installation is carried out to the agreed schedule with the customer.
* Monitor the workload: Output of all contracts team members, sub-contract tank installation teams & communicate available resource information on a regular basis to the sales team. Ensure all installation work is carried out safely & competently by approved installers in line with our Authorised Installer Registration Scheme (AIRS).
* Take corrective action: Deal with any post-sale customer queries or complaints. Take corrective action and report via NCR/Customer complaints procedure.
* Weekly & monthly reports: Weekly and monthly reports to be aligned with agreed KPI’s on all aspects of the contracts and installation team’s performance. KPIs to be aligned with the five business priorities, and team members “My Contribution” objectives.
* Review all work in progress at month end: In conjunction with the finance team. Provide monthly margin variation analysis by contract on all closed jobs during the period.
* Review sub-contract documentation & where required: Provide guidance and support to the sales director’s and their teams during contractual negotiations.
* Support: Support the sales director’s and their teams with contractual issues.
* Continuous improvement: Contribute to the ethos of continuous improvement within the contracts and installation department and the business overall.
