Full Job Description
Job Title - Administrator (Travel & Logistics)
Reporting to - Club Secretary
Location - WBA Training Ground, Carrington’s Way, 430 Birmingham Road, Walsall, WS5 3LQ with travel to all sites as required
Main Purpose - To oversee and coordinate the Club’s travel and logistics requirements
Working Hours - Full-time which may include evenings, weekends, and bank holidays as required and in line with business needs.
Duties & Responsibilities
1. Work with Managing Director and Sporting Director to establish overall club travel policies and establish travel partnerships.
2. Co-ordinate and book corporate travel (Transport, hotels etc) for the Club, including bookings for Board of Directors, Ownership Group, Men’s 1st Team and staff, Women’s 1st Team and staff, PL2 Team, Academy Teams, and Scouts.
3. Work and liaise with existing (and potentially new) external suppliers, ensuring compliance with company travel policies and procedures.
4. Communicate with all relevant staff providing operational and logistical information as necessary.
5. Work closely with the Player Liaison Officer, Head Chef TG, and any other relevant staff to ensure all facilities booked are of an appropriate standard.
6. Ensure that value for money is achieved with all arrangements made.
7. Co-ordinate and support the attendance of Club scouts at other venues.
8. Co-ordinate and distribute players’ (Men’s, Women’s & PL2) weekly/monthly training schedule across the club.
9. Provide general administrative support and to co-ordinate, prepare and minute meetings as required.
10. Support with day-to-day general administration duties, including ordering stationery and booking Training Ground meeting space.
11. Undertake any other reasonable duties as requested.
12. Contribute positively to the Club's vision and culture.
13. Promote and adhere to the Equality, Diversity and Inclusion Policy.
14. Ensure the working environment is free from harassment and discrimination.
15. Participate in one-to-ones and departmental reviews and meetings.
16. Understand the Club’s Safeguarding policy and promote Safeguarding practices.
17. Ensure health & safety within the Club is adhered to at all times.
18. Undertake all required training, including mandatory Club Equality and Diversity, Safeguarding, and Health and Safety training.
Person Specification
1. Highly organised and methodical approach to workload.
2. Confidential and diplomatic.
3. Excellent communication skills, both written and verbally.
4. Right to Work in the UK.
