Responsibilities / Position overview
We are seeking an HR professional to join our global HR team as an HR Executive supporting our UK based PR and Promotions groups. As HR Executive, you will be responsible for providing proactive and comprehensive human resources support throughout the employee lifecycle. This role will serve as the first line of contact for general HR queries for approximately 200 employees.
This is a part-time (approximately 20 hours per week), 6 month contract role, offering a hybrid schedule of three days from our Edinburgh office, and 2 days remote from your home office.
The HR Executive role provides multifacted support to ongoing and day-to-day functions within HR, including:
HR Query Management
1. Act as first point of contact for the HR Business Partner with queries, responding to low complexity and low risk enquiries, and escalating queries to the appropriate person when required Be responsible for managing the HR inbox/ticketing system, ensuring that responses to stakeholders are within agreed response timeframes, allocating queries appropriately and filing once resolved
HR Administration
2. Preparing and distributing communications and employment documentation such as promotion letters, salary increase letters and bonus letters Keep organisational charts and line management charts up to date Assist with the management of annual HR processes, including probationary reviews, performance reviews etc. Input to HR monthly reporting as required
Payroll Administration
3. Support the preparation of the monthly payroll process
HRIS/Employee File Management
4. Take the lead on ensuring the HRIS is maintained accurately, hold responsibility for entering and updating all information as needed Accurately maintain all HR documentation and personnel records as required
Onboarding
5. Prepare all paperwork for new hires and establish HR record on HRIS Complete references, right to work checks and new employee announcements as required Organise onboarding and diarise induction sessions Support the Lumanity Global New Joiner Event for new starters
Absence Management
6. Manage all absence processes (holiday, sick leave, maternity leave, ensuring accurate record keeping and reporting as required Respond to all absence management queries Assist in Occupational Health referrals
Offboarding
7. Assist in preparation and issue of exit documentation Liaise with operational teams to ensure timely return of all Company assets
Qualifications
8. 1-2 years’ experience as an HR Administrator or HR Executive
9. Professional certification/designations preferred (. CIPD/SHRM)
10. High attention to detail
11. Flexible, deadline oriented and the ability to work as part of a multifunctional team
12. Highly organised, with strong attention to detail, effectively prioritise and manage multiple tasks
13. Maintains a professional attitude, even in challenging situations
14. Self-motivated and driven to deliver people results
15. Ability to work effectively across all levels of the organisation
16. Demonstrates discretion, able to work with sensitive and confidential materials
17. Proficiency in Microsoft Office suite
18. Strong interpersonal and communication skills
