Based at BioCity Glasgow, near Motherwell, UK, our stability storage experts have developed and maintain a strong sample storage program which is underpinned by years of experience working with the pharmaceutical, biopharma, life sciences and healthcare industries. Storage services include Controlled Stability Storage, Photostability (Lux/Uva), Cycling Studies, Controlled Warehouse Bespoke Temperature and / or Relative Humidity, Document Storage, Disaster Recovery, and Biobanking -196oC to 5oC.
Position summary:
The Sample Storage Coordinator will act as the primary liaison between clients and internal stakeholders to ensure all storage operations are planned and communicated to the storage teams by acting as the initial point of contact for all clients and staff involved in storage projects, according to SOPs and GMP.
Support the quality and storage teams where applicable with the efficient operation of the Storage Suites, document archiving, and/or off-site warehousing, ensuring all activities are performed in accordance with Good Manufacturing Practice (GMP) regulations. Storage Suites include Biorepositories, ICH Stability Storage, Ambient Storage, Document Storage, Thermal Cycling Storage and Photostability Testing.
Responsibilities:
* Provide quality customer service and communication to ensure storage activities are performed and delivered on time and according to expectations.
* Participate in regular meetings with senior staff and cross functional teams to review storage and quality requests and other issues relevant to key deliverables.
* Communicate with clients and internal team members on a day-to-day basis.
* Contact courier companies and coordinate dispatch and delivery as required.
* Assist in identifying areas for continuous improvement in operational and quality areas of the business.
* Prepare or review quality documents including standard forms, study protocols, SOPs, change controls and deviations.
* Champion all aspects of quality within the operations team, including support/assistance of internal/external audits, complaints investigation, risk management/mitigation, change management and ongoing supplier monitoring.
* Support the implementation, review and approval of Quality Technical Agreements through supplier and client contact along with documentation completion
* Lead internal and client archiving processes and procedures to ensure documents are stored in compliance with any Regulatory requirements and Record Retention Policy / SOP.
* Ensure a clean and safe work environment.
* Assist Storage and Quality teams with tasks to support the department and Quality Management System, ISO 9001, MHRA, WDA, HFEA accreditations:
o Ensure folders and spreadsheets in the quality system within Box / ZenQMS, study folders and client folders are maintained.
o Perform periodic reviews of all relevant documentation in the quality system and ensure that reviews are conducted in a timely manner.
* Take personal responsibility to deliver storage services to a consistently high standard, making suggestions for improvement.
* Follow Standard Operating Procedures and adhere to all safety and company policies.

Where Required
* Support sample receipt activities of incoming commodities in a safe manner and in accordance with Standard Operating Procedures (SOPs): including, but not limited to;
o Receiving, moving, labelling and storing incoming goods to GMP standards. This includes handling biological samples at various temperatures.
o Check and inspect goods received, ensuring they are of accurate and acceptable quantity, type and quality prior to storing.
o Assemble, pack and label products to GMP standards prior to dispatch.
o Ensure all inventory processes are completed on the required day.
Candidate requirements:
* Good standard of general education, with strong numeracy and literacy skills.
* Experienced administrator with good customer service skills, ideally with 2+ years of communicating with external clients on a regular basis.
* Good communication and interpersonal skills, confident to effectively communicate with colleagues, clients, visitors and suppliers.
* Excellent computer skills, predominantly with email and spreadsheets, experienced with entering data and using databases.
* Excellent written communication skills with an attention to detail and accurate record keeping.
* Strong planning and organisation skills: Able to lead the planning, organisation and prioritisation of daily activities / requests from clients.
* Able to work independently and as part of a team.
* Flexible and adaptable. Comfortable with undertaking practical material handling activities when required, for which full training will be provided.
* Previous user of online Quality Management Systems advantageous.
* Familiarity working to Standard Operating Procedures (SOPs) advantageous.
* Experience of Good Manufacturing Practice (GMP) advantageous.
* Willing and able to learn, with an interest in continued professional development.
