Overview
We are seeking a highly organised and proactive Personal Assistant to support our CEO in a dynamic and fast-paced environment. The ideal candidate will possess exceptional organisational skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the CEO’s busy schedule and requires a professional with strong administrative capabilities.
Responsibilities
* Manage the CEO’s calendar, including scheduling meetings and appointments while prioritising urgent matters.
* Handle incoming communications, including phone calls and emails, demonstrating excellent phone etiquette.
* Communicate with partner organisations and stakeholders,
* Produce and collate organisation’s handbooks and policies,
* Prepare and organise documents for meetings, ensuring all necessary materials are available.
* Assist with surveys, data entry and maintain accurate records,
* Coordinate travel arrangements, including itineraries, accommodations, and transportation.
* Support various administrative tasks such as filing, clerical duties, and office management to ensure an efficient workflow.
* Conduct research as required to assist the CEO in decision-making processes.
* Maintain confidentiality regarding sensitive information and uphold professionalism at all times.
Experience
* Proven experience as a Personal Assistant or in a similar administrative role is preferred.
* Strong organisational skills with the ability to manage time effectively and prioritise tasks.
* Proficiency in using Google Suite applications (Docs, Sheets, Calendar) is essential.
* Familiarity with QuickBooks for financial record keeping is advantageous.
* Excellent communication skills, both written and verbal, with a focus on professional phone etiquette.
* Experience in data entry and maintaining accurate records is required.
* A proactive approach to problem-solving with strong attention to detail is essential for success in this role.
