To provide a comprehensive reception, administration and clerical service for the occupational health and wellbeing team, as part of a multidisciplinary team in the co-ordination, provision and delivery of an effective, high quality occupational health and wellbeing service to the health board and external contracts.
Main duties of the job
1. To ensure confidentiality is maintained at all times.
2. Provide a friendly and comprehensive reception service to all staff visiting the department.
3. Undertake efficient reception duties e.g. answering the phone, receiving people at the door and attending to the hatch when people arrive in the department.
4. To deal efficiently and courteously with clients, relatives and colleagues at all times as per departmental standards.
5. Deal with telephone calls courteously, enquiries and relay messages in an efficient manner as service standard, processing urgent referrals.
6. Process and distribute incoming and outgoing mail, e.g. date stamp and forward to other practitioners for action.
7. Process key information onto the database/files for new employees. Actively update any changes on personnel details e.g. surname, addresses, job titles, manager details.
8. Arrange and send out a variety of appointments ensuring the departmental diaries are kept updated e.g. the employment checks, vaccinations, sickness absence, counselling.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
