Operations Specialist Description Scentsy is looking for an Operations Specialist to manage the flow of product orders and coordinate the operational activities of Scentsys third-party logistics (3PL) partners. This role ensures that kitting, pick/pack, and shipping processes are executed efficiently, effectively, and in line with service standards and Service Level Agreements(SLAs). The Operations Specialist reports to the Director of Operations, serving as the key liaison between Scentsys headquarters and 3PL providers to drive operational excellence and continuous improvement. Customer Services Feedback: Receive and respond to customer feedback regarding missing items, damaged items, general quality control, etc. Logistics Coordination: Act as the primary liaison between Scentsys corporate office and 3PL partners, ensuring seamless communication and operational alignment. Coordinate with local carriers on customer deliveries to ensure quality and on-time delivery. Process Optimization: Develop, implement, and improve operational strategies to streamline workflows, reduce inefficiencies, and optimize labor and shipping timelines. Forecasting & Labor Models: Work with cross-functional teams to ensure forecast-to-labor models meet SLAs and shipping timelines. Inventory Auditing and Availability: Oversee and manage annual year-end inventory counts and weekly cycle counts, auditing inbound and outbound inventory transactions for discrepancies and taking corrective actions as necessary. Continuously monitor available-to-promise inventory, notifying relevant departments when materials or products are unavailable to avoid disruption. Training & SOP Compliance: Lead onboarding and continuous training for new 3PL Shipping Operators. Ensure adherence to Standard Operating Procedures (SOPs) and company policies. Vendor & Supply Coordination: Serve as the primary point of contact for local vendors, ensuring efficient supply chain coordination and troubleshooting disruptions. Collaboration & Communication: Ability to work effectively with cross-functional teams and external partners, providing clear and concise communication. Defect Management: Lead and resolve any supply chain disruptions, including defect correction and rework activities. Continuous Improvement: Collaborate with the Operations team to identify and implement process improvements using data-driven insights and industry best practices. Possible Travel: May be asked to Travel overseas to the Home Office located in the USA, the Netherlands, and/or Belgium for Training and Consultant events once a year. Roughly 3-5 days. Other Duties: Perform additional operational tasks as required to support Scentsys broader goals and objectives. We're Looking For: Bachelors degree or equivalent distribution centre experience At least 5 years in a distribution or supply chain role, with experience working in logistics and/or inventory management and fulfilment 3 years of warehouse or inventory control experience in ERP system (SAP Preferred) Strong communication skills with the ability to deliver clear and concise verbal and written communications Knowledge of receiving inventory, kitting, and the shipping processes Strong research and analytical skills with the ability to problem solve and reach resolution Outstanding organizational skills operating in both system and manual sort environments Strong decision-making ability that will impact the quality and timely completion of work Ability to perform multiple tasks promptly Ability to work in a stressful and often complex shipping environment Strong ability to adapt to new technology and automation tools Proactive mindset with a focus on driving operational efficiencies and continuous improvement Ability to perform in a fast-paced, dynamic work environment with a high volume of orders and shifting priorities Working knowledge: Proficient with Microsoft Office Suite, WMS, ERP software, and other business systems If you think you would be a great fit for the role, Apply Now ADZN1_UKTJ
