Main duties of the job
The role will involve all aspects of administration work within St Paul's Eye Unit, including:
1. Call centre and reception work
2. Registering of referrals
3. Booking appointments
4. Preparation of relevant paperwork

Detailed job description and main responsibilities
1. Extract and prepare case sheets from the filing system for allocated clinics, cancellations, research and audit purposes.
2. Receive and book in patients on arrival in Out-patients/Primary care.
3. Make appointments as requested and liaise with medical staff regarding overbooked clinics.
4. Deal with telephone and postal enquiries.
5. Ensure clinic booking summaries and clinic proformas are completed timely and accurately.
6. Open, sort and re-direct mail.
7. Enter referral letters onto the Hospital Information Support System and book new appointments as required.
8. Make up and file new case notes.
9. Cancel and re-book clinic appointments according to given instructions.
10. Liaise with Clerical Team Co-ordinator regarding missing case notes.
11. Maintain and enhance an efficient and helpful attitude whilst undertaking the above duties.
12. Ensure all Out-patient discharges are recorded timely and accurately.
13. Deal with DNA follow up appointments.
14. Cover/rotation for other Clerical Officers will be required.
15. To undertake any other duties appropriate to the grade as delegated by the Clerical & Administration Manager/Clerical Supervisor.
Person specification
Qualifications
* Good educational achievements – 5 GCSE or equivalent
* NVQ Level 2 Customer Care or equivalent
* For Posts in Diabetic Screening Service – Achieved Certificate in Diabetic Retinopathy Screening (Administration)
Experience
* Experience of office duties including telephone and reception
* Acute Healthcare experience including liaison with patients/health professionals or equivalent in an acute Healthcare provider setting
* Relevant training and experience in data input/data validation
Knowledge
* Microsoft Outlook
* Microsoft Word, Excel and Access and Patient Administration Systems
Skills
* Keyboard Skills
* Ability to use own initiative
* Organised and systematic approach to tasks, prioritising and planning workload effectively
