Key responsibilities The following list outlines the primary responsibilities of the PA to the Practice Manager. Occasionally, there may be a need to perform additional tasks, which will depend on factors such as workload and staffing levels: Assisting the Practice Manager as needed in projects, systems, and procedures ensuring compliance with CQC Maintaining and updating our practice portal TEAMNET Providing requested key performance information to management and other providers Executing tasks as directed by the Practice Manager related to change management and continuous improvement Assisting the Practice Manager in monitoring compliance with health and safety regulations, offering guidance and leadership to staff and completing risk assessments Arranging maintenance when instructed to by the Practice Manager Provide administrative support for compliance registers, and ensuring DBS checks are conducted Compiling and sustaining precise and comprehensive HR records that include training records Coordinating both internal and external meetings, including Organising Patient Participation Group (PPG), preparing agendas, presentations and generating minutes Assisting the Practice Manager in promoting marketing initiatives and enhancing the practice's visual presence Drafting the practice newsletter on a quarterly basis and keeping our practice leaflet up to date Assisting the Practice Manager in maintaining the practice online presence including; website, facebook page, google reviews and notice boards and NHS Choices websites Efficiently monitoring the Friends and Family Test With the Practice Manager to establish and monitor practice performance targets, identifying areas for improvement to enhance patient services Support with succession planning Assist in reviewing and updating of practice policies, procedures and other practice documents Manage asset registers as directed Maintain a working knowledge of PCN and ICB initiatives Inducting new staff Keep our staff handbook relevant and up to date Assist leading in equality, diversity and inclusion Creating job adverts and publishing on NHS jobs, collating applicants and assisting in shortlisting and the interview process Generic Responsibilities Equality, Diversity, and Inclusion: A positive attitude and proactive action in support of Equality, Diversity, and Inclusion (ED&I) are essential for creating an environment where individuals can reach their full potential. The post holder is responsible for managing and assessing risks within their area of responsibility, implementing measures to protect staff and patients, and ensuring work areas and practices comply with health, safety, and security regulations. All personnel have a duty to prioritise health and safety for themselves, their team, and others and to collaborate with employers to ensure compliance with health and safety requirements. Personnel are expected to adhere to various legislations, including the Health and Safety at Work Act 1974, Environmental Protection Act 1990, Environment Act 1995, Fire Precautions (workplace) Regulations 1999, Coronavirus Act 2020, and other relevant statutory legislation. Confidentiality: Maintaining confidentiality is of utmost importance at Whittington Moor Surgery. Patients and staff trust us with sensitive information regarding their health and care, and it is essential for all staff to respect their privacy and uphold confidentiality. Quality and Continuous Improvement: To enhance the quality of our practice, all personnel are encouraged to not only focus on what they do but also on how they can achieve it. Continuous improvement is a shared responsibility. Staff are expected to identify opportunities for improvement, share best practices, and contribute to discussions aimed at enhancing patient care. We promote a culture of continuous improvement, where staff members are encouraged to make suggestions and actively participate in investigations and root cause analyses during serious incidents. Induction: All new staff members are required to complete the induction programme, and the Practice Management team will provide support throughout the process. Learning and Development: Training and development are essential for equipping staff with the necessary skills, knowledge, attitude, and competences to excel in their roles. Staff members are required to complete mandatory training as directed by management and assess their own learning needs. They are also expected to mentor team members, share knowledge gained, and provide educational support to patients, carers, families, and colleagues. Collaborative Working: Recognising the importance of collaborative working, staff members should understand their roles and scopes and be open to potential development over time. Effective time management is crucial, and teamwork is essential in multidisciplinary environments. Effective communication, delegation, and clear plans are emphasized to ensure effective collaboration. Managing Information: Staff members are encouraged to use technology and appropriate software to aid in managing care, presenting information, and processing data accurately using relevant codes for monitoring and audit purposes. Service Delivery: Detailed information about policies and procedures related to service delivery will be provided during the induction process. Staff members are expected to adhere to organisation policies, ensuring protocol compliance. Security: Security is the responsibility of all personnel. Vigilance is essential, and any suspicious activity should be reported promptly. Codes for door locks and password controls must be kept confidential and secure. Professional Conduct: All staff members are required to dress appropriately for their roles. Leave: Personnel are entitled to take leave, and line managers should ensure that staff members are given the opportunity to take a minimum of 23-28 days' leave pro rata each year, encouraging them to utilise their full leave entitlement. Public holidays will be calculated on a pro-rated basis based on the number of hours worked. Notes: The job description and specification may be amended to facilitate development of this role in discussion and agreement with the Practice and the post holder.
